Job Summary
Support project operations and office administration as a Document Controller & Secretary.
Manage project documentation, correspondence, records, management support, and document circulation.
Document Control
- Manage and maintain project and company documents.
- Control correspondence, drawings, submittals, RFIs, reports, approvals, and other project records.
- Maintain document registers, tracking logs, filing systems, and archives.
- Track revisions and circulate the latest approved document versions.
- Coordinate submissions with clients, consultants, contractors, suppliers, and internal departments.
- Follow up on pending approvals and required documentation.
- Handle sensitive company and project information confidentially.
Secretarial and Administrative Support
- Provide secretarial and administrative support to management and project teams.
- Manage emails, correspondence, letters, reports, meeting documentation, appointments, and schedules.
- Prepare meeting agendas, minutes, action points, presentations, reports, quotations, and official documents.
- Coordinate travel arrangements and support daily office administration.
Requirements
- Diploma or bachelor's degree in business administration, office management, or a related field.
- Previous experience as a document controller, secretary, administrative assistant, or in a similar role.
- Strong knowledge of document control procedures and filing systems.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Excellent written and verbal English communication skills.
- Strong organization, time management, attention to detail, and ability to manage deadlines.
- Ability to handle confidential information responsibly.
Preferred Qualifications
- Interior fit-out, construction, design, or contracting documentation experience is preferred.
- Familiarity with document management systems and project submission procedures is preferred.
- UAE experience is advantageous.
