Responsibilities
- Maintain, organize, and update all project documentation, including drawings, specifications, BOQs, material schedules, submittals, RFIs, and project correspondence
- Ensure all documents are correctly filed, version controlled, and distributed to the appropriate team members
- Assist interior designers with daily administrative and project coordination tasks
- Prepare presentation packages, material boards, finish schedules, and project reports
- Coordinate meetings, record meeting minutes, and follow up on action items
- Visit suppliers, showrooms, contractors, and project sites as required to collect and deliver drawings, samples, documents, and materials
- Understand and identify interior finishes, furniture, lighting, fabrics, flooring, stone, wood, metals, and other construction materials
Requirements
- Interior Design graduates are strongly preferred
- Minimum 2 years of experience in Interior Design, Fit Out, Architecture, or Construction
- Experience in document control within design or construction projects is highly desirable
- Strong understanding of interior design drawings, construction documentation, and material specifications
- Excellent organizational and document management skills
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with AutoCAD is required

Job Summary
- We are seeking a highly organized and proactive Document Controller & Project Assistant to support our Interior Design team.
- This role combines document management, administrative support, and project coordination to ensure the smooth execution of design projects from concept through completion.
- The ideal candidate has a background in Interior Design or Construction, enabling them to understand design drawings, specifications, materials, finishes, and construction terminology.
Key Responsibilities
- Maintain, organize, and update all project documentation, including drawings, specifications, BOQs, material schedules, submittals, RFIs, and project correspondence.
- Ensure all documents are correctly filed, version controlled, and distributed to the appropriate team members.
- Track revisions and maintain accurate document registers.
- Prepare project folders and maintain digital and physical filing systems.
- Ensure project documentation complies with company standards and procedures.
- Assist interior designers with daily administrative and project coordination tasks.
- Prepare presentation packages, material boards, finish schedules, and project reports.
- Coordinate meetings, record meeting minutes, and follow up on action items.
- Monitor project timelines and remind team members of upcoming deadlines.
- Support procurement activities by organizing quotations, material samples, and supplier information.
- Visit suppliers, showrooms, contractors, and project sites as required.
- Collect and deliver drawings, samples, documents, and materials.
Qualifications
- Interior Design graduates are strongly preferred.
- Minimum 2 years of experience in Interior Design, Fit Out, Architecture, or Construction.
- Experience in document control within design or construction projects is highly desirable.
- Strong understanding of interior design drawings, construction documentation, and material specifications.
- Excellent organizational and document management skills.
- High attention to detail and accuracy.
- Ability to prioritize multiple tasks in a fast paced environment.
- Strong communication and coordination skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Experience with AutoCAD is required.
- Knowledge of Adobe InDesign, Photoshop, SketchUp, or Revit is an advantage.
- Familiarity with project management and document control systems is a plus.
