DMS Specialist

Experience: Minimum 6 years in Autoline / Keyloop DMS

We are looking for an experienced DMS Specialist – Autoline / Keyloop to manage, support, and optimise our Dealer Management System across the dealership.

The successful candidate will act as the key functional point of contact between Sales, Aftersales, Parts, CRM, Finance, IT, and Keyloop support, ensuring accurate system usage, data integrity, reporting, troubleshooting, and smooth dealership operations.

• Administer and maintain the Keyloop Autoline DMS across dealership departments.
• Manage users, roles, profiles, permissions, and system access.
• Provide functional support to Sales, Vehicle Administration, Aftersales, Parts, CRM, and Finance teams.
• Support vehicle sales, quotations, sales orders, invoicing, vehicle stock, and vehicle administration processes.
• Manage and maintain customer, company, and vehicle master data.
• Support CRM activities, customer data cleansing, and database maintenance.
• Support workshop processes including appointments, job cards/repair orders, service transactions, warranty processes, and invoicing.
• Support Parts operations including ordering, receiving, issuing, stock transfers, adjustments, and inventory reporting.
• Monitor DMS transactions and identify data discrepancies, process issues, and errors.
• Generate and analyse DMS reports covering Sales, Aftersales, Parts, CRM, Vehicle Stock, and other operational areas.
• Coordinate with Finance on DMS-related transactions, integrations, posting issues, and reconciliation discrepancies.
• Provide first-level user support and conduct training for new and existing users.
• Coordinate with Keyloop support/vendors and manage support tickets through to resolution.
• Support system integrations with OEM, CRM, accounting, payment, valuation, and other third-party systems.
• Participate in system upgrades, enhancements, testing, User Acceptance Testing (UAT), and new implementations.
• Monitor data integrity, system controls, user access, and permissions.
• Identify opportunities to improve DMS processes and reduce recurring system errors and manual workarounds.

• Minimum 6 years of hands-on experience with Keyloop Autoline DMS.
• Strong experience working with an automotive dealership DMS.
• Good understanding of automotive dealership operations and processes.
• Experience supporting multiple departments, including Sales, Aftersales, Parts, CRM, and Finance.
• Strong knowledge of Autoline CRM, Vehicle Sales, Vehicle Administration, Aftersales/Service, Parts, and reporting.
• Understanding of Finance and DMS accounting integration.
• Experience with DMS configuration, testing, implementation, migration, or system enhancements is an advantage.
• Experience coordinating with DMS vendors/support teams is preferred.
• Strong Microsoft Excel and reporting skills.
• Excellent troubleshooting, analytical, and problem-solving abilities.
• Strong communication and coordination skills.
• Ability to work under pressure and meet deadlines.
• High attention to detail, confidentiality, and integrity.

Bachelor's Degree or Diploma in IT, Computer Applications, Business Administration, Automotive Management, or a related field.

Autoline / Keyloop certification or professional training is highly preferred.
