Distribution Assistant / Specialist

Location and Work Arrangement

Role Overview

Distribution and Shipment Operations

• Support daily distribution and logistics operations and coordinate product, material, equipment, and supply movements.
• Process distribution orders and verify quantities, SKUs, destinations, delivery dates, customer details, and shipping instructions.
• Prepare schedules based on customer requirements, inventory availability, transportation capacity, and operational priorities.
• Coordinate shipment planning, dispatch, carrier bookings, pickup times, delivery appointments, and shipment instructions.

Documentation and Tracking

• Prepare and maintain delivery notes, packing lists, shipping documents, manifests, waybills, and other distribution documentation.
• Track shipments from warehouse release through final delivery using transportation systems, carrier portals, and tracking tools.
• Follow up on delayed, missing, damaged, or unsuccessful deliveries and communicate status and expected delivery dates.
• Maintain accurate records of shipments, deliveries, returns, transfers, and transportation activities.

Inventory, Returns, and Performance

• Coordinate warehouse picking, packing, labeling, staging, release, inventory transfers, and receipt reconciliation.
• Investigate quantity discrepancies and coordinate with inventory control teams on stock corrections.
• Coordinate returns, rejected deliveries, damaged products, replacement shipments, and related documentation.
• Monitor carrier performance, transportation costs, delivery exceptions, service levels, and distribution KPIs.

Systems, Compliance, and Improvement

• Update ERP, WMS, TMS, CRM, and logistics systems and maintain master data for customers, locations, carriers, routes, products, and transportation requirements.
• Prepare transportation and distribution reports covering volumes, performance, costs, exceptions, returns, and service-level compliance.
• Support logistics technology, process automation, route optimization, continuous improvement, standard operating procedures, and contingency planning.
• Ensure applicable safety, environmental, customs, trade, regulatory, and documentation requirements are followed.

Candidate Profile

• Previous experience in distribution, logistics, transportation, warehousing, supply chain, or order fulfillment is expected.
• Candidates should understand the order-to-delivery process and have experience tracking shipments and coordinating deliveries.
• Candidates should be proficient with Microsoft Excel and familiar with ERP, WMS, TMS, logistics platforms, or carrier portals.
• Candidates should demonstrate organization, attention to detail, data accuracy, communication, customer service, problem solving, and follow-up skills.
• Familiarity with freight, international shipping, customs, route planning, logistics analytics, Power BI, Tableau, or SQL is advantageous.
• A relevant degree, diploma, or professional logistics, supply chain, transportation, or warehouse certification is advantageous.
