The Opportunity
Picton Investments is hiring an Office Services Coordinator to support administrative operations and a welcoming environment in its Toronto office.
The role serves as a first point of contact for clients and employees, manages reception and inquiries, and supports departments, catering, boardrooms, committees, and events.
The expected annual base salary is $48,000 to $52,000, with eligibility for variable compensation through a discretionary bonus program.
Responsibilities
- Provide comprehensive administrative support for the Toronto office and maintain efficient office systems and procedures.
- Support departments, communicate facilities updates, manage calls, and maintain professional customer service.
- Order office supplies, maintain inventory, coordinate catering, and handle mail, deliveries, and courier pickups.
- Coordinate loading dock operations with building management and security teams.
- Maintain boardrooms, office spaces, kitchen supplies, appliances, and posted policies and certificates.
- Administer access cards, support safety and compliance, and manage printer and copier maintenance.
- Assist with office updates, renovations, company events, committees, and corporate travel arrangements.
What We Are Looking For
- Prior customer service experience is required; administrative experience is beneficial but not required.
- Post-secondary education is highly advantageous but not mandatory.
- Candidates should demonstrate strong communication, professional phone etiquette, integrity, discretion, organization, prioritization, and attention to detail.
- Intermediate proficiency in Microsoft Word, Excel, PowerPoint, and Outlook is required.
- First Aid/CPR and Joint Health and Safety Committee certifications are assets.
- Candidates must be able to lift items weighing up to 50 pounds.
- The role requires availability in the Toronto office Monday to Friday, 8:30 AM to 5:00 PM.
