Role Overview

Workplace and Employment

Required Qualifications

• At least 2 years of experience in Operations or Project Management within e-commerce or DTC.
• Hands-on supply chain experience in inventory, 3PL, freight, and forecasting is required.
• Advanced Notion and/or ClickUp experience is required.
• Daily use of AI tools to build systems and automate workflows is required.
• Experience managing remote teams across time zones is required.
• Applicants must be comfortable interpreting basic financial reports and managing hiring pipelines.

Preferred Qualifications

• Direct experience operating across China and US markets is preferred.
• Experience scaling a DTC brand into structured operations is preferred.
• KPI dashboard and operational scorecard experience is preferred.
• Multi-vendor, multi-channel supply chain exposure is preferred.
• Experience implementing AI-driven automation is preferred.

Supply Chain and Fulfillment

• Own inventory tracking, demand forecasting, and reorder cycles to prevent stockouts and overstock.
• Manage supplier and manufacturer relationships, including China-based partners, and monitor lead times and quality.
• Coordinate freight and shipment timelines across the China-to-US pipeline and navigate customs, duties, and tariffs.
• Manage 3PL relationships and monitor service-level agreements.
• Optimize supply chain cost, speed, and reliability.

Systems, KPIs, and SOPs

• Build and maintain operational dashboards and KPI trackers.
• Document SOPs and job scorecards for every role and process in Notion.
• Audit workflows, remove bottlenecks, and use AI tools to automate repetitive work.

People Management and Hiring

• Serve as the day-to-day point of contact for the team and run weekly standups and structured one-to-ones.
• Lead monthly and quarterly reviews, underperformance conversations, and performance improvement plans when needed.
• Process contractor and team payments accurately and on time.
• Run hiring pipelines, maintain job descriptions and scorecards, and structure onboarding.
• Oversee a recruiter if or when one is added.

Cost Visibility and Financial Oversight

• Track recurring operational spend for tools, subscriptions, and vendors and flag anomalies.
• Deliver a monthly operating expense summary with insights and budget-versus-actual analysis.
• Support data-driven operational decisions.

Success Milestones

• Within 30 days, audit systems, tools, team, and supply chain; establish team meeting cadences and accountability tracking; take over payments; and understand inventory and reorder cycles.
• Within 60 days, document all roles with SOPs and scorecards, operationalize KPI tracking, implement a forecasting model, deliver the first OPEX summary, launch two AI process improvements, and manage a hiring process if applicable.
• Within 90 days, operate without bottlenecks, achieve full SOP coverage, improve KPI performance, establish accountability, onboard a new hire through structured onboarding, and make operational decisions autonomously.
