Role Overview
As an Assurance Coordinator, you will support the delivery of a robust assurance and compliance framework, helping to ensure contractual obligations, statutory requirements and internal standards are consistently met, monitored and evidenced. You will work closely with technical compliance leads, operational teams, contractors and key customer stakeholders to coordinate assurance activities and ensure important actions are followed through to completion.
A key part of the role will involve coordinating inspections, certifications, audit findings and compliance documentation, ensuring remedial actions are accurately recorded, tracked and closed within the required timescales. You will maintain detailed assurance and compliance records across CAFM and other business systems, ensuring information is accurate, up to date and readily auditable.
You will also coordinate contractor activities, including arranging maintenance and construction works, agreeing access requirements and liaising with building custodians and stakeholders to ensure works are delivered smoothly. Your ability to build positive working relationships and communicate effectively will be essential as you interact with specialist suppliers, operational teams, Facilities Managers, Built Estate Managers, Senior Authorised Persons and the Dstl customer.
The role will also provide support for internal and external audits, JSP 375 Safe Systems of Work, technical documentation and Common Data Environment requirements. You will help identify compliance risks, trends and opportunities for improvement, supporting corrective and preventative actions and helping to drive continuous improvement across the service.

What you'll bring
Previous administration experience within a busy, customer-focused environment would be highly beneficial. You’ll be confident organising site access, coordinating and scheduling subcontractor works, maintaining accurate records and ensuring activities are planned and delivered efficiently. Strong customer-facing and stakeholder management skills are essential, as you’ll regularly liaise with subcontractors, internal teams, site users, stakeholders and the client to coordinate requirements, resolve issues and keep everyone informed. You’ll be organised, approachable and proactive, with the ability to manage competing priorities while maintaining a professional and high-quality service.
You’ll have a good understanding of relevant Health & Safety requirements, including COSHH and RIDDOR, alongside demonstrable experience managing contractors within a maintenance or construction environment. An SMTS qualification is required, or you’ll need to be willing to work towards one.
We’re looking for someone reliable, self-motivated and organised, with excellent communication skills and the confidence to work with colleagues, contractors, customers and senior stakeholders.
Experience working with mechanical or electrical assets in a commercial or industrial environment, a Health & Safety qualification, professional membership and previous MOD experience or SC clearance would be advantageous, along with experience working with Authorised Persons and Responsible Persons across electrical, mechanical or other compliance management systems, such as Legionella (L8) or asbestos.
Due to the nature of the site, applicants must be UK Nationals, aged 18 or over, and able to obtain and retain SC clearance.
