- Welcome patients and visitors in a professional, friendly, and respectful manner
- Answer telephone calls, emails, and patient inquiries in Arabic and English
- Schedule, confirm, reschedule, and cancel patient appointments
- Register new patients and update existing patient information
- Verify patients' insurance eligibility, coverage, and benefits
- Obtain pre approvals and treatment authorizations from insurance companies
- Maintain accurate and confidential patient records
- Collect consultation fees, co payments, deductibles, and other patient charges
- Prepare daily appointment schedules and patient lists
- Support doctors, nurses, and management with general administrative tasks
Requirements
- Native Arabic speaker or fully fluent in Arabic
- Excellent command of spoken and written English
- Minimum 2 3 years of experience as a receptionist, administrator, patient coordinator, or insurance coordinator in a medical center, clinic, or hospital
- Practical experience with medical insurance verification, approvals, and claims documentation
- Diploma or bachelor's degree in Business Administration, Healthcare Administration, Medical Administration, or related field
- Good computer skills including Microsoft Office and email communication
- Experience using clinic, hospital, electronic medical record, or patient management systems preferred
- Valid UAE driving license and car is a plus

Job Overview

Key Responsibilities Reception and Patient Services
- Welcome patients and visitors in a professional, friendly, and respectful manner.
- Answer telephone calls, emails, and patient inquiries in Arabic and English.
- Schedule, confirm, reschedule, and cancel patient appointments.
- Register new patients and update existing patient information.
- Direct patients to the appropriate doctor, department, or treatment area.
- Manage patient waiting times and coordinate with doctors and nursing staff.
- Explain medical center procedures, available services, and appointment requirements.
- Handle patient concerns and complaints professionally and escalate issues when necessary.
- Maintain a clean, organized, and professional reception area.
Medical Insurance Coordination
- Verify patients’ insurance eligibility, coverage, and benefits.
- Check insurance network requirements, co payments, deductibles, and exclusions.
- Obtain pre approvals and treatment authorizations from insurance companies.
- Prepare and submit the required insurance forms and supporting documents.
- Coordinate with doctors and clinical staff to obtain medical reports, prescriptions, and other documents required for approvals.
- Follow up with insurance companies regarding pending, rejected, or delayed approvals.
- Explain insurance coverage and payment responsibilities clearly to patients.
- Maintain accurate records of insurance approvals, claims documents, and correspondence.
- Ensure compliance with insurance company policies and medical center procedures.
- Support the billing and accounts teams with insurance related documentation when required.
Administrative Support
- Maintain accurate and confidential patient records.
- Enter and update patient information in the clinic or hospital management system.
- Scan, file, organize, and retrieve medical and administrative documents.
- Prepare daily appointment schedules and patient lists.
- Assist with medical reports, letters, certificates, and other administrative documents.
- Coordinate meetings, staff schedules, and internal communications when required.
- Monitor office supplies and arrange replenishment.
- Receive and distribute incoming correspondence, documents, and deliveries.
- Support doctors, nurses, and management with general administrative tasks.
- Prepare basic reports related to appointments, patient attendance, collections, and insurance approvals.
Billing and Payment Support
- Collect consultation fees, co payments, deductibles, and other patient charges.
- Issue receipts and maintain accurate payment records.
- Coordinate with the accounts department regarding patient balances and outstanding payments.
- Explain charges and payment requirements clearly and professionally.
- Reconcile daily front desk collections according to the medical center’s procedures.
- Maintain confidentiality when handling financial and patient information.
Compliance and Confidentiality
- Protect patient confidentiality and comply with healthcare privacy requirements.
- Ensure patient records and insurance documents are handled securely.
- Follow the medical center’s policies, procedures, and quality standards.
- Maintain professional conduct, appearance, and communication at all times.
- Report operational, patient service, or documentation issues to management.
Qualifications
- Diploma or bachelor’s degree in Business Administration, Healthcare Administration, Medical Administration, or a related field.
- Minimum of 2–3 years of experience as a receptionist, administrator, patient coordinator, or insurance coordinator in a medical center, clinic, or hospital.
- Practical experience with medical insurance verification, approvals, and claims documentation is mandatory.
- Fluent Arabic communication skills.
- Strong spoken and written English skills are mandatory.
- Good computer skills, including Microsoft Office and email communication.
- Experience using clinic, hospital, electronic medical record, or patient management systems is preferred.
