Position Overview

  • We are looking for a reliable, detail oriented, and highly organized Remote Administrative Assistant to support our growing operations team serving the MENA region.
  • This entry level position involves managing data, tracking workflows, maintaining documentation, and ensuring information is accurate and up to date.
  • No extensive professional experience is required; structured training and onboarding are provided.

Key Responsibilities

  • Maintain and update spreadsheets and internal databases using Google Sheets or Microsoft Excel.
  • Review records for accuracy, consistency, and completeness.
  • Standardize names, contact information, formatting, and internal documentation.
  • Identify duplicate records, missing information, and data inconsistencies.
  • Flag incomplete information for follow up.
  • Organize digital files using established naming conventions and folder structures.
  • Maintain accurate records of updates and corrections.
  • Review and organize incoming administrative requests.
  • Assign or route tasks according to established workflows.
  • Track task progress through completion.
  • Follow up on overdue or incomplete items.
  • Maintain clear documentation of task status.

Tracking & Reporting

  • Update operational trackers for ongoing, completed, and pending work.
  • Maintain daily activity logs and documentation.
  • Prepare simple progress summaries and reports.
  • Monitor recurring issues and identify opportunities for process improvement.
  • Escalate workflow bottlenecks when appropriate.

Scheduling & Administrative Support

  • Assist with calendar updates and scheduling as needed.
  • Send reminders for deadlines and important milestones.
  • Track onboarding progress and checklist completion.
  • Help coordinate internal administrative activities to keep projects on schedule.

Quality Assurance

  • Review work before submission for accuracy and formatting.
  • Maintain organized documentation and file structures.
  • Ensure records remain accessible and easy to locate.
  • Support updates to internal documentation and procedures.
  • Follow established Standard Operating Procedures (SOPs).

Qualifications

  • Comfortable using Google Sheets or Microsoft Excel.
  • Strong written English communication skills.
  • Ability to follow written instructions carefully.
  • Excellent attention to detail and organizational skills.
  • Comfortable performing repetitive administrative tasks accurately.
  • Reliable high speed internet connection.
  • Access to a computer suitable for remote work.
