Role Summary

  • We are looking for an organized, responsible, professional, and well presented individual for the position of Administrative Assistant / Secretary.
  • The ideal candidate should be able to handle daily administrative tasks, answer calls, manage correspondence, schedule meetings, organize documents, and support management and the team with office operations.
  • Native or near native Russian language proficiency is highly preferred.

Key Responsibilities

  • Answer phone calls, messages, and business emails professionally.
  • Welcome and assist visitors, clients, and guests.
  • Schedule meetings, appointments, and daily office coordination.
  • Prepare, register, scan, file, and organize documents and records.
  • Follow up on administrative matters, letters, invoices, and internal requests.
  • Coordinate with employees, clients, suppliers, and external parties.
  • Maintain files, contact lists, reports, and administrative records.
  • Assist in preparing letters, forms, simple reports, and official correspondence.
  • Support basic payment follow ups, receipts, and simple administrative financial tasks when required.
  • Keep the office and reception area organized and presentable.
  • Perform other reasonable administrative duties assigned by management.

Requirements

  • Previous experience in administration, secretary work, reception, or office support is preferred.
  • Native or near native Russian language proficiency is highly preferred.
  • Good business communication skills in English.
  • Knowledge of Microsoft Office, Google Workspace, email, and basic office tools.
  • Strong communication skills with clients and colleagues.
  • High level of organization, attention to detail, follow up, and responsibility.
  • Professional appearance and proper office behavior.
  • Ability to multitask and manage priorities.
  • Punctual, honest, and reliable.
  • Ability to handle confidential company and management information with discretion.

Working Conditions
