Delma Laboratory for Soil & Construction Materials Inspection LLC is looking for an Administrative Assistant to support daily laboratory operations, manage documentation, and assist with client coordination.
This role is responsible for handling administrative tasks, maintaining records, and providing general support to laboratory and management staff.
The position reports to the Office Manager or Laboratory Manager.
Key Responsibilities
- Answer and direct phone calls, respond to emails, and greet visitors to the laboratory
- Maintain and organize laboratory files, records, and documentation including test reports, client files, and quality records
- Prepare and format correspondence, reports, spreadsheets, and presentations as requested
- Assist with data entry and maintain accuracy of information in laboratory databases
- Process incoming and outgoing mail, packages, and courier deliveries
- Monitor office and laboratory supply inventory and place orders as needed
- Assist with sample registration and documentation as directed by laboratory supervisors
- Support quality assurance activities including filing of calibration records and test methods
- Schedule appointments, meetings, and coordinate calendars for management staff
- Assist with basic bookkeeping tasks including expense tracking and invoice filing
- Perform general clerical duties including photocopying, scanning, and filing
Skills
High school diploma or equivalent; diploma or certificate in Business Administration or related field is preferred
Minimum 1 year of experience in an administrative, clerical, or office support role, preferably in a laboratory, engineering, or construction services environment
Proficiency in Microsoft Office applications including Word, Excel, and Outlook
Good written and verbal communication skills in English; proficiency in Arabic is required
Strong organizational skills with attention to detail and accuracy
Ability to manage multiple tasks and prioritize effectively
Professional demeanor and ability to maintain confidentiality
Reliable and punctual with consistent attendance
