Administrative Support
Oversee office scheduling, coordinate meetings, and manage appointments for the leadership team.
Arrange travel plans, including booking transportation, accommodations, and itineraries.
Handle incoming calls, emails, and correspondence, responding on behalf of the leadership team when necessary.
Prepare, format, and organize documents, reports, and presentations as needed.
Project Coordination
Assist in planning and coordinating multiple office projects to ensure deadlines are met.
Collaborate with internal teams to track project milestones and ensure timely completion.
Maintain project documentation, including timelines, progress reports, and status updates.
Financial and Administrative Support
Assist with payroll processing, invoicing, purchase orders, and other financial records.
Track office expenses, process reimbursements, and help with budgeting.
Maintain organized records and files for easy access and reference.
Office Management
Monitor and manage office supply inventories, ensuring timely restocking.
Coordinate meetings, events, and employee activities, ensuring all logistics are handled smoothly.
Handle various office tasks such as data entry, report generation, and information distribution.
Employee Support
Maintain employee records, assist with onboarding new hires, and help with HR-related tasks.
Assist in recruitment by posting job openings, reviewing applications, and scheduling interviews.
Qualifications
- High school diploma required; associate’s or bachelor’s degree in business administration or related field preferred.
- Proven experience as an Administrative Assistant or in a similar role.
- Excellent organizational and time-management skills, with the ability to handle multiple priorities.
- Proficiency in office software such as Microsoft Office Suite and Google Workspace.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Experience in project coordination and meeting deadlines.
