In this dynamic role as an Administration Coordinator , you will be at the forefront of managing all office related affairs, be responsible for the smooth day ‑ to ‑ day running of the office, including facilities, housekeeping, security, pantry and coordination with building management and vendors.
The incumbent will manage office assets and supplies, oversee reception and general administrative support, and assist leadership with meetings, travel, and office events.
The role includes light HR and finance support such as maintaining employee records, supporting onboarding/offboarding, petty cash and vendor invoices, as well as keeping basic logs for audits.
The Administration Coordinator will use standard office tools to maintain trackers and reports, and will proactively escalate issues related to facilities, vendors or employee experience.
What you will be doing:
Office Operations and facilities:
• Ensure smooth day-to-day running of the office (opening/closing, cleanliness, housekeeping coordination, security, pantry).
• Manage office supplies and assets: Stationery, laptops/accessories, ID cards, access cards, inventory logs.
• Coordinate with building management (Security, Internet, AC, building parking/transportation, lobby access, housekeeping, repairs, courier) and vendors.
• Manage AMCs for fire alarm systems, cooling, housekeeping, plant vendors, etc.
Front office and admin support:
• Manage reception duties if needed: visitors, calls, courier, meeting room bookings.
• Handle general correspondence: emails to common mailboxes, letters, scanning/filing of documents.
• Support leadership with scheduling: arranging internal meetings, reviews, travel logistics, cab/hotel bookings for visitors.
• Explore and manage vendor communication for office events, venues, and arrangements.
• Manage Pantry vendors and pantry hygiene/supplies
HR and people-ops support (minimal scope):
• Maintain employee records and basic HR data (joining forms, ID proofs, etc).
• Assist in onboarding/offboarding: welcome kit, desk setup, access cards, collecting assets at exit.
• Support internal/external engagement activities: office events, birthdays, team lunches, festival celebrations.
Finance and basic compliance support:
• Maintain petty cash, collect and organize bills, prepare expense statements for approval, if needed.
• Coordinate with accounts for vendor invoices, payments follow-up, basic documentation including but not limited to initiating purchase requisitions in the system.
• Keep simple logs needed for audits (asset registers, visitor logs, contract copies, vendor agreements).

Co-ordination, Reporting and Tools
- Use tools like MS Office (Word, Excel, Sheets, Calendar), basic HR/attendance or ticketing tools.
- Prepare simple trackers and reports (office expenses, asset list, attendance summary, vendor list, issue log).
- Escalate issues proactively (IT problems, facility breakdowns, conflicts with vendors, repeated employee complaints).
Qualifications
- At least a bachelor’s degree in any subject.
Experience
- 4-5 years' work experience in the administration, general affairs, or office management roles.
Specific Skills
- Fluent in English, Hindi, and Telegu (Preferable).
- Basic knowledge of office management systems and procedures.
- Strong command in written and spoken English.
- Should have a sense of urgency.
- Able to interact with all levels of management.
- Strong interpersonal skills.
