Position Overview

  • We are seeking a proactive, organized, and detail oriented Female Admin Cum Accounts Assistant to join our growing team.
  • This role combines Accounts Receivable, Administration, Office Coordination, and Social Media Management.
  • The ideal candidate will support daily financial operations, customer collections, office administration, and the management of the company’s online presence across various digital platforms.

Key Responsibilities Accounts & Finance

  • Prepare and issue quotations, sales orders, invoices, and payment reminders accurately and on time.
  • Follow up with customers on outstanding payments through calls, emails, and WhatsApp.
  • Monitor Accounts Receivable aging reports and ensure timely collection of receivables.
  • Reconcile customer accounts and resolve billing discrepancies.
  • Record customer receipts and maintain accurate accounting records.
  • Prepare Statements of Account (SOA) and customer payment reports.
  • Coordinate with Sales, Operations, and Project teams regarding customer billing and collections.
  • Assist with monthly financial reports and accounting documentation.
  • Maintain organized financial records and filing systems.
  • Support VAT related documentation and accounting activities when required.

Key Responsibilities Administration & Office Coordination

  • Manage incoming calls, emails, inquiries, and company correspondence.
  • Maintain company records, contracts, employee files, and administrative documentation.
  • Coordinate meetings, appointments, and office schedules.
  • Assist in preparing proposals, reports, presentations, and project documents.
  • Coordinate with vendors, suppliers, and service providers.
  • Support HR administration, employee documentation, and onboarding processes.
  • Monitor office supplies and ensure smooth day to day office operations.
  • Maintain digital and physical filing systems for easy access and compliance.

Key Responsibilities Social Media & Marketing Support

  • Manage and monitor company social media accounts, including Facebook, Instagram, LinkedIn, TikTok, YouTube, and other platforms.
  • Schedule, publish, and manage social media content according to the marketing calendar.
  • Coordinate with the design and marketing team to ensure timely content creation and posting.
  • Respond to basic customer inquiries, comments, and messages received through social media channels.
  • Forward sales inquiries and leads to the appropriate team members and maintain lead records.
  • Update company profiles, business listings, and online directories.
  • Assist in creating captions, post descriptions, and basic content updates.
  • Monitor engagement, messages, notifications, and online customer interactions.
  • Support digital marketing campaigns, promotional activities, and brand awareness initiatives.
  • Assist in maintaining the company website content, blog updates, and online marketing activities when required.

Requirements

  • 1–2 years of experience in Accounts Receivable, invoicing, collections, administration, or related roles.
  • Experience using ERP or accounting software such as Odoo, ERPNext, Zoho Books, QuickBooks, Xero, or similar systems.
  • Strong understanding of invoicing, customer ledgers, payment collections, and account reconciliation.
  • Excellent communication and follow up skills with confidence in collecting overdue payments professionally.
  • Good knowledge of Microsoft Excel, Word, Outlook, and Office applications.
  • Basic experience managing social media accounts and online communications.
  • Strong organizational, multitasking, and time management skills.
  • High level of accuracy, attention to detail, and professionalism.
  • Ability to work independently and collaborate effectively with multiple departments.

Preferred Qualifications

  • Bachelor’s Degree or Diploma in Accounting, Finance, Business Administration, Marketing, or a related field.
  • Familiarity with Odoo ERP is highly preferred.
  • Basic knowledge of Canva, Meta Business Suite, LinkedIn, or social media management tools is a plus.

Pay

  • AED 1,900.00 AED 2,800.00 per month
