Job Summary
Responsible for managing the day-to-day administrative operations of the office while maintaining accurate financial records, processing transactions, and supporting the finance function.
A dual-role position suited to a detail-oriented professional comfortable working across both disciplines.
Administration
- Manage front office operations including correspondence, filing, document control, and courier management
- Maintain and organise company records, contracts, licences, and legal documents
- Coordinate office supplies, maintenance, and vendor relationships
- Support HR functions including employee onboarding, leave tracking, and attendance records
- Assist in visa processing, trade licence renewals, and government-related documentation in the UAE
- Schedule meetings, manage calendars, and prepare meeting minutes
- Liaise with PRO, insurance providers, and government authorities as required
Accounting
- Process accounts payable and receivable, including supplier invoices and client billing
- Maintain petty cash and reconcile cash transactions
- Prepare monthly bank reconciliations and assist with month-end closing
- Record journal entries and maintain accurate general ledger entries
- Assist in preparation of financial statements, expense reports, and budgets
- Track project-related expenses and report against budgets
- Liaise with external auditors and support annual audit preparation
- Ensure VAT compliance and assist with VAT filing in line with UAE FTA requirements
Qualifications & Requirements
- Bachelor's degree in Accounting, Finance, Business Administration, or related field
- 3–5 years of experience in a combined admin and accounts role, preferably in the UAE construction or contracting sector
- Proficiency in accounting software — Tally, QuickBooks, or Zoho Books preferred
- Strong MS Office skills, particularly Excel
- Solid understanding of UAE VAT regulations
- Excellent organisational and multitasking ability
- Discreet, reliable, and able to handle confidential information
- Good written and verbal communication skills in English; Arabic is an advantage
