- Assist with event logistics such as venue arrangements, catering, travel support, and technical services.
- Maintain accurate vendor records, process invoices, and monitor compliance with organizational policies.
- Communicate regularly with both internal teams and external partners.
- Support basic administrative duties related to procurement and contribute to improving vendor management processes.
Requirements
- Experience with vendor coordination or procurement, including requesting quotes, managing contracts, and tracking vendor performance.
- Strong organizational and administrative skills, with the ability to manage multiple tasks, deadlines, and documentation accurately.
- Effective communication and interpersonal skills for collaborating with internal stakeholders and external vendors.
- Basic budgeting and financial tracking abilities, including invoice processing and cost monitoring.
- Proficiency with office productivity tools (e.g., spreadsheets, word processing, and email) and comfort learning new systems.
- Attention to detail, reliability, and a proactive approach to identifying and resolving logistical or vendor related issues.
- Experience supporting events or programs, preferably in an academic, nonprofit, or policy focused environment, is beneficial.
- Relevant education or training in business administration, logistics, or a related field is an advantage.

Role Description
- The Vendor Coordinator is a part time, hybrid position based in Dubai, with a mix of on site work and work from home flexibility.
- This role is responsible for coordinating with vendors that support PONI programs and events, including obtaining quotes, managing contracts, and tracking deliverables.
- The Vendor Coordinator will assist with event logistics such as venue arrangements, catering, travel support, and technical services, ensuring that all vendor services meet quality, budget, and timeline requirements.
