Responsibilities
- Develop and manage project schedules, production timelines, and workflow processes aligned with organizational priorities and delivery objectives
- Coordinate the allocation of creative, marketing, production, and operational resources to maximize productivity and utilization
- Manage project intake, prioritization, task assignments, and workload balancing across multiple teams and departments
- Collaborate with marketing, creative, product, operations, client services, and leadership teams to ensure project requirements, timelines, and deliverables are clearly defined and achieved
- Monitor project progress, identify scheduling conflicts, resource constraints, and workflow bottlenecks, and implement corrective actions to maintain delivery schedules
- Ensure projects comply with quality standards, service level agreements (SLAs), internal processes, and organizational priorities
- Monitor key performance indicators (KPIs) including on time delivery, resource utilization, project cycle time, capacity planning, workflow efficiency, project throughput, and stakeholder satisfaction
- Maintain project management systems, workflow documentation, production calendars, and resource planning tools to ensure operational transparency and efficiency
- Facilitate project status meetings, workflow reviews, and cross functional communication to proactively resolve issues and align priorities
- Analyze workflow data, project performance, and resource allocation trends to recommend process improvements and operational efficiencies
- Prepare project dashboards, workload reports, resource forecasts, and strategic recommendations for senior leadership
- Lead continuous improvement initiatives to enhance workflow management, project coordination, resource planning, and operational performance while mentoring traffic coordinators and project support staff
Requirements
- Bachelor's degree in Business Administration, Marketing, Project Management, Operations Management, Communications, or a related field preferred
- Professional certifications such as PMP, PRINCE2, Agile, Scrum, CAPM, or equivalent are advantageous
- 5+ years of experience in traffic management, project coordination, workflow management, operations, creative services, or related roles
- 2+ years of experience managing cross functional projects, production schedules, or resource planning initiatives preferred
- Strong understanding of workflow management, resource allocation, capacity planning, project scheduling, process optimization, and stakeholder coordination
- Experience with project management and collaboration tools such as Asana, Monday.com, Jira, Trello, Wrike, Smartsheet, Microsoft Project, or similar platforms
- Strong organizational, analytical, leadership, and problem solving skills
- Excellent communication, stakeholder management, prioritization, negotiation, and cross functional collaboration abilities
- Ability to manage multiple concurrent projects while balancing deadlines, resources, quality, and business priorities
- Ability to work independently in a remote environment
