Overview
We are seeking a highly experienced, exceptionally organized, emotionally resilient, and operationally mature professional to join our company as a Senior Executive Assistant & Operations Coordinator.
This is a high-responsibility role requiring constant coordination with senior management, strong operational oversight, advanced administrative capabilities, excellent communication skills, and the ability to perform under pressure in a fast-paced luxury service environment.
The ideal candidate must be highly detail-oriented, proactive, responsive, capable of multitasking efficiently, and comfortable working within a closely supervised operational structure with continuous reporting and follow-ups.
Key Responsibilities
- Manage executive schedules, appointments, meetings, travel arrangements, and operational calendars
- Handle high-volume administrative coordination and operational follow-ups
- Maintain accurate records, documentation, databases, contracts, and confidential company files
- Coordinate with clients, suppliers, service providers, and internal teams professionally
- Monitor WhatsApp communications, emails, operational chats, and ensure timely responses and updates
- Prepare reports, operational summaries, trackers, and documentation as required by management
- Support HR and recruitment-related activities including screening, interview coordination, onboarding, and employee documentation
- Manage operational tasks across multiple departments while maintaining strict attention to detail
- Handle urgent operational situations calmly and efficiently under pressure
- Ensure continuous communication and reporting to senior management throughout the day
- Assist with office operations, vendor coordination, procurement, logistics, and inventory management
- Support high-level operational execution in a luxury hospitality / holiday homes environment
- Maintain strict confidentiality and professionalism at all times
• Qualifications & Experience
- Minimum 10 years of professional UAE experience required
- Bachelor’s Degree mandatory (Master’s Degree preferred)
- Previous experience supporting CEOs, founders, or senior executives is highly preferred
- Strong background in administration, operations, HR coordination, executive support, and client management
- Previous experience in luxury hospitality, holiday homes, premium real estate, or fast-paced service industries preferred
- Exceptional organizational, multitasking, and communication skills required
- Ability to work independently while maintaining continuous coordination with management
- Strong emotional resilience and ability to perform under intensive operational pressure is essential
- Candidates must be comfortable working under close supervision, detailed operational monitoring, and high accountability standards
- Availability outside standard office hours, including weekends and urgent operational situations, may be required
- Candidates who are unable to handle fast-paced operational environments, continuous follow-ups, and high-performance expectations are advised not to apply
Salary
AED 8,000 – AED 10,000 depending on qualifications, experience, and operational capability.
