Reports to: Construction Manager
The Site Coordinator supports the day-to-day administrative operations of a tunnel construction project. The Site Coordinator will serve as a key point of coordination between the construction team, subcontractors, project controls, HSE, HR, and corporate departments, ensuring efficient site operations and accurate project documentation.
The Site Coordinator’s key responsibilities are:
Provide administrative support to the Construction Manager, General Superintendent and leadership team.
Coordinate daily site administrative activities and prioritize work to support construction operations.
Maintain project records, correspondence, reports, meeting minutes, and site documentation.
Manage incoming calls, emails, and visitor inquiries, directing them to appropriate project personnel.
Coordinate site meetings, prepare agendas, distribute minutes, and track action items.
Support workforce onboarding by coordinating access requests, orientations, training records, and site inductions.
Assist with timesheet collection, labour tracking, vacation requests, and workforce reporting.
Maintain and update project filing systems, both electronic and hard copy, ensuring document control requirements are met.
Process purchase requisitions, invoices, expense reports, and other administrative transactions.
Coordinate travel arrangements, accommodations, and logistics for project personnel when required.
Support document management platforms such as Aconex, SharePoint, or other project systems.
Track and maintain site office supplies, equipment inventories, and facility requirements.
Assist in preparing construction reports, productivity reports, and monthly project summaries.
Coordinate courier services, mail distribution, and project-related communications.
Establish and maintain professional working relationships with project stakeholders, subcontractors, and clients.
Ensure compliance with project procedures, company policies, and document retention requirements.

Familiarity with unionized construction environments.
Experience supporting field operations, construction managers, superintendents, and project teams.
Knowledge of project administration processes including workforce tracking, document control, procurement support, and reporting.
