XSpot Wealth is looking for a Senior Administrator to join their Dubai office, responsible for administrative and back-office functions, client onboarding, regulatory compliance, and smooth internal processes.

Responsibilities
- Oversee and manage administrative tasks related to client onboarding, account maintenance, and internal workflows
- Perform thorough KYC/AML checks and ensure complete client documentation in line with regulatory requirements
- Process and monitor daily transactions including bank wires, internal fund transfers, and payment verification
- Handle internal and external correspondence in a timely and professional manner
- Maintain and update client records and corporate files accurately and securely
- Collaborate with Finance and Compliance teams to resolve transaction issues, documentation gaps, or data irregularities
- Support Operations team in preparing internal reports and audit trails for regulatory or management review
- Identify process improvement opportunities and assist in documenting new procedures and workflows
- Act as primary liaison for logistical and administrative support within the Dubai office
- Provide support during internal/external audits or regulatory reviews
- Assist with scheduling, travel arrangements, meeting coordination, and office supply management
- Escalate technical or client related matters promptly to relevant internal stakeholders
Requirements
- Bachelor’s degree in Business Administration, Finance, or related field
- Minimum 5 years of relevant experience in back office operations, client onboarding, or administrative support within financial services
- Strong knowledge of KYC/AML procedures and client due diligence
- Professional certifications such as CISI or CII considered an advantage
- Excellent command of English (verbal & written); Arabic or Greek is a plus
- Highly organized with strong attention to detail and accuracy
- Ability to multitask, prioritize, and meet deadlines under pressure
