Front Office & Reception Management

  • Greet and welcome visitors, clients, and VIPs in a warm, courteous, and professional manner.
  • Screen and direct incoming phone calls, take accurate messages, and manage general office emails.
  • Maintain front desk logs, issue visitor badges, and direct guests to the appropriate personnel or departments.
  • Receive, sort, and distribute daily mail, packages, and courier deliveries.

Executive & Administrative Support

  • Schedule and coordinate appointments, meetings, and conference room bookings.
  • Book flights, arrange transportation, and coordinate hotel accommodations for management.
  • Prepare and format professional correspondence, memos, reports, and presentations using MS Office.
  • Set up meeting spaces, prepare agendas, and take detailed minutes during discussions.

Office & Data Management

  • Maintain physical and digital filing systems, ensuring sensitive and confidential documents are handled securely.
  • Monitor and reorder office supplies, pantry items, and equipment to prevent shortages.
  • Provide ad hoc support to HR (e.g., onboarding, tracking attendance) or Finance (e.g., basic data entry, invoice processing) as needed.

Key Requirements & Qualifications

  • 1–3 years of proven experience in an administrative, secretarial, or receptionist role, preferably in the region.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and standard office equipment.
  • Exceptional multitasking and time management abilities; fluent, clear communication in English (Arabic or other localized language skills are frequently a plus).
  • High level of discretion when handling confidential information and a consistently professional appearance.

Pay

  • AED 3,000.00 AED 3,500.00 per hour
