Responsibilities
- Manage daily administrative tasks, including handling phone calls, emails, calendars, meeting scheduling, and correspondence for the office and leadership team.
- Prepare and maintain documents, records, and reports related to property transactions, clients, and suppliers.
- Organize files (digital and physical) to ensure accurate and timely retrieval of information.
- Greet and assist visitors, coordinate appointments with clients and agents, and support customer inquiries in a professional and service oriented manner.
- Support company secretarial and executive administrative tasks such as arranging meetings, preparing agendas and minutes, processing basic office finance related paperwork, and liaising with internal teams.
Requirements
- Strong clerical skills, including document preparation, record keeping, filing, and data entry.
- Excellent verbal and written communication skills.
- Experience with company secretarial work such as organizing meetings, preparing agendas and minutes, and maintaining official records.
- Proven experience in executive administrative assistance, including calendar management, travel coordination, and supporting senior leadership.
- Customer service skills with a client centric approach, ideally in real estate, property management, or related service industry.
- Proficiency with office software (e.g., Microsoft Office or Google Workspace) and comfort with digital tools and CRM systems.
- Strong organizational and time management abilities, with attention to detail and capacity to prioritize multiple tasks.
- Ability to work on site in Dubai, UAE, in a fast paced, team oriented environment.
- Previous experience in an administrative or secretarial role; experience in real estate or professional services is an advantage.
- Relevant diploma or bachelor’s degree in Business Administration, Office Management, or related field preferred.
