Job Overview

  • We are seeking a professional, organized, and proactive Secretary cum Receptionist to join our team.
  • The ideal candidate will manage front office operations, provide administrative support, handle customer inquiries, and prepare quotations.
  • Candidates with experience in engineering companies or a technical background will be given preference.

Key Responsibilities

  • Greet and assist visitors, clients, and suppliers in a professional manner.
  • Answer, screen, and direct incoming phone calls and emails.
  • Manage incoming and outgoing correspondence.
  • Prepare, review, and follow up on customer quotations and proposals.
  • Coordinate with the sales and engineering teams to obtain technical and pricing information for quotations.
  • Maintain customer records, files, and office documentation.
  • Schedule appointments, meetings, and maintain calendars.
  • Prepare reports, letters, and other business documents.
  • Handle office supplies, filing, and general administrative tasks.
  • Support management with day to day office operations.
  • Maintain confidentiality of company information.

Requirements

  • Bachelor's degree or Diploma in Business Administration, Engineering, or a related field.
  • Engineering background or experience in an engineering company is preferred.
  • Minimum 2–3 years of experience as a Secretary, Receptionist, or Administrative Assistant.
  • Experience in preparing quotations, tenders, and commercial documents.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Excellent verbal and written communication skills in English. Knowledge of Arabic is an advantage.
  • Strong organizational, multitasking, and time management skills.
  • Professional appearance and customer focused attitude.
  • Experience with ERP or accounting software is an added advantage.
