Secretarial

• Schedule & organize appointments with Clients/Outside Parties
• Organize meetings with Internal department Heads
• Prepare and circulate minutes of the meetings
• Ensure timely travel arrangements of Managing Director
• Maintenance and filing of correspondence files
• Maintain Confidential files in an proper manner
• Handle inward and outward couriers related to Managing Director
• Process documents for required approvals from Managing Director
• Coordinate with concerned departments to gather information required by Managing Director
• Answer calls to the main switchboard number
• Welcoming clients and visitors warmly, directing them to the appropriate person, and maintaining a tidy reception area

General

• Maintain and organize adequate stocks of office Stationary/Pantry Supplies
• Source and oversee the office Stationary/Pantry Supplies,
• Processing invoices for payment in coordination with the accounts dept.
• Ensure office space is maintained to the highest standard
• Maintain and distribute internal telephone lists
• Ensure that maintenance reports are updated after visits by the external service teams
• Organize Special occasions and events (Internal/External)
