Overview

We are looking for an organised and customer-focused Sales Coordinator to support the Pipes & Fittings sales team in

Dubai

.

The successful candidate will provide day-to-day commercial and administrative support to the sales function, manage order processing and customer communications, and help drive timely delivery and high levels of customer satisfaction.

This role requires strong coordination skills, attention to detail, and the ability to work across commercial, logistics and operations teams.

Key Responsibilities

  • Act as primary coordinator for sales activities related to pipes, fittings, valves and associated accessories; support sales executives in managing client enquiries and quotations.
  • Prepare and issue commercial quotations, pro forma invoices and order acknowledgements in coordination with sales and pricing teams.
  • Process customer orders accurately in the ERP/CRM system; follow up on approvals, credit checks and contract terms to ensure timely order confirmation.
  • Coordinate with procurement, warehouse and logistics to ensure product availability, allocation, dispatch and delivery schedules are met.
  • Monitor order status and communicate updates to customers and internal stakeholders; proactively resolve discrepancies or delays.
  • Maintain and update customer records, price lists, product catalogues and sales documentation; assist with periodic reporting and sales performance metrics.
  • Support the sales team with preparation of tender submissions, BOQs and technical-commercial clarifications as required.
  • Handle customer queries and complaints professionally; escalate complex issues to the sales manager and coordinate corrective actions.
  • Assist with invoicing, credit notes and reconciliation of accounts in coordination with the finance team.
  • Participate in continuous improvement initiatives to streamline sales processes, improve order fulfilment and enhance customer experience.

Skills & Competencies

  • Organisation: Strong ability to prioritise tasks, manage multiple orders and meet deadlines in a fast-paced environment.
  • Communication: Clear written and verbal communication for customer-facing interactions and cross-functional coordination.
  • Commercial awareness: Understanding of pricing, terms of sale, delivery and basic commercial controls relevant to supply of pipes and fittings.
  • IT proficiency: Comfortable using MS Office (Excel, Word, Outlook) and experience with CRM/ERP systems; familiarity with inventory systems is an advantage.
  • Attention to detail: Accurate data entry, documentation and follow-up to prevent order errors and ensure contractual compliance.
  • Customer service: Customer-focused mindset with the ability to manage enquiries and build positive relationships.
  • Problem solving: Practical approach to resolving order, delivery and invoicing issues promptly.
  • Ability to work collaboratively with sales, operations, procurement and finance teams.

Requirements

  • Diploma or Bachelor’s Degree in Business, Supply Chain, Engineering or a related discipline preferred.
  • Minimum 2–4 years’ experience in a sales coordination, customer service or commercial support role, ideally within pipes, fittings, plumbing or building materials distribution.
  • Experience with ERP/CRM systems and order management processes.
  • Strong numerical skills and familiarity with basic commercial documents (quotations, invoices, delivery notes, credit notes).
