About the Role
Petra Brands is looking for a Sales & Client Operations Coordinator to manage client information collection, communication, and ERP data hygiene for a packaging company. The role bridges clients and the factory in China, requiring packaging industry experience and exceptional attention to detail.

Responsibilities
- Collect complete specs from clients at quotation stage: product type, dimensions, materials, finishes, print colors, quantities, annual volume, dielines, ship to address/port, target dates
- At sampling stage: collect final artwork files, confirm sample specs against quote, collect shipping addresses, coordinate sample dispatch and delivery, track client feedback and approval/revision decisions
- At production stage: verify final artwork matches approved sample, confirm PO details, quantities, packing/carton requirements, labeling requirements, and shipping details before release to factory
- Answer inbound client messages (email primarily) within agreed SLAs
- Send structured follow ups when information is missing
- Follow email conventions (subject format, CC rules) on every thread
- Draft status updates so clients always know where their project stands
- Log every meaningful client interaction in ERP (comms log)
- Keep order statuses, files, and specs current in ERP
- Flag anything ambiguous or contradictory before it moves downstream
- Translate client requirements into clear, complete production ready briefs for internal quoting lead and factory team
- If Chinese speaking: communicate directly with China team in Mandarin
Requirements
- Packaging industry experience, preferably paper packaging (folding cartons, rigid boxes, corrugated, mailers, labels)
- Exceptional attention to detail
- Strong written English, professional and client facing quality
- Organized and self managing, able to handle high volume of parallel threads
- Timezone: able to work with significant China (GMT+8) overlap plus a few hours of US client overlap
- Fluent Chinese (Mandarin) spoken and written is a big plus
- Experience with ERPs/CRMs and structured process work (SOPs, checklists) is a plus
- Experience serving Western (US/EU) e commerce or consumer brand clients is a plus

The Role in One Sentence
- You make sure nothing falls through the cracks between the client saying 'yes' and the factory producing exactly what the client expects — every spec, every file, every message, every time.
Mission
- Clients send over large amounts of information across three critical stages — quotation, sampling, and production.
- Your job is to collect, verify, structure, and relay that information, answer client messages fast, and keep our ERP as the single source of truth.
- A missed dimension, wrong Pantone code, or outdated artwork file costs us thousands of dollars and weeks of delay.
What You'll Own
- Client information collection at quotation, sampling, and production stages.
- Client communication: answer inbound messages within SLAs, send structured follow ups, follow email conventions, draft status updates.
- ERP & data hygiene: log interactions, keep order statuses and files current, flag ambiguities.
- China team liaison: translate client requirements into production ready briefs, communicate directly in Mandarin if applicable, chase internal answers.
Requirements

Compensation & Setup
- Philippines: $800–$1,500/mo (higher end for Chinese speaking + packaging experience)
- Malaysia: $1,200–$2,000/mo
- Dubai: $2,500–$3,500/mo
- 13th month (PH), paid time off, performance reviews with raise path.
- Tools provided: ERP access, email, Slack/WhatsApp/Lark.
