Sales Assistant & Office Administrator
We are seeking a highly organized and proactive Sales Assistant & Office Administrator to join our growing team.
In this versatile role, you will be a backbone of our sales department—managing logistics, handling lead generation, ensuring operational efficiency, and supporting our technical sales and management teams.
The ideal candidate is a detail-oriented communicator with a strong willingness to learn and a drive to contribute to the overall success of the region.
Sales Support & Lead Management
· Lead Execution: Manage incoming leads with a strict 24-hour Service Level Agreement (SLA), initiating customer contact and qualifying inquiries.
· Customer Engagement: Proactively call customers to gather feedback, address inquiries, and maintain professional relationships.
· Tender Management: Navigate various tender portals, register the company with new entities, and maintain meticulous tender documentation.
· Technical Support: Assist Sales and Application Engineers with administrative requirements, including the preparation of sales materials and technical documentation.
Operations & Logistics
· Supply Chain: Handle logistics and shipments, including overseeing customs clearance, coordinating packing, and managing deliveries.
· Quotation Management: Generate and manage accurate quotations via SAP (or similar software) to ensure timely responses to clients.
· Forecasting: Utilize Integrated Business Planning (IBP) processes to assist in forecasting sales and inventory needs.
Administrative & Hr Support
· Office Administration: Provide high-level administrative support to the General Manager on special projects.
· HR Assistance: Support HR functions, including onboarding new hires and maintaining organized employee records.
· System Management: Utilize CRM systems (preferably SAP C4C) to track sales activities and customer data.
Skills & Qualifications
· Communication: Excellent verbal and written proficiency in English.
· Technical Literacy: Proficient in Microsoft Office Suite and experienced with SAP or similar ERP/CRM systems.
· Organizational Mastery: Strong time-management skills with the ability to multitask and prioritize high-pressure deadlines (such as tender submissions).
· Service Mindset: A positive, customer-first attitude with professional interpersonal skills.
Education & Experience
· Education: Bachelor’s degree in Business Administration, Sales, Engineering, or a related field preferred.
· Experience: Proven experience in sales support, logistics, or administrative roles is highly advantageous.
· Knowledge: Familiarity with supply chain processes and customs clearance is a significant plus.
