The Real Estate Office Administrator is responsible for ensuring the smooth day-to-day operations of a real estate office.
This role supports agents and management by handling administrative tasks, coordinating transactions, maintaining records, and delivering excellent client service.
1. Office Management
- Oversee daily office operations and ensure a well-organized workspace
- Manage office supplies, equipment, and vendor relationships
- Handle incoming calls, emails, and general inquiries
2. Administrative Support
- Provide administrative assistance to real estate agents and brokers
- Prepare, edit, and format documents such as contracts, listings, and reports
- Schedule meetings, property viewings, and appointments
3. Transaction Coordination
- Assist in processing real estate transactions from listing to closing
- Maintain accurate records of contracts, agreements, and client files
- Coordinate with clients, lawyers, banks, and other stakeholders
4. Client Relations
- Act as the first point of contact for clients and visitors
- Maintain client databases and follow up on leads
- Ensure high levels of customer service and professionalism
5. Marketing Support
- Assist in preparing marketing materials (brochures, listings, social media posts)
- Upload and update property listings on portals and websites
- Coordinate advertising campaigns and promotional activities
6. Financial & Reporting Tasks
- Track expenses and assist with basic bookkeeping tasks
- Prepare reports on sales, listings, and office performance
- Manage invoices and commission records
Requirements & Qualifications
- Proven experience in an administrative role (real estate experience preferred)
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Familiarity with real estate CRM systems is a plus
- Ability to work independently and meet deadlines
