Purchasing Agent / Procurement Specialist

Position Summary

Procurement and Purchasing

• Source servers, networking equipment, storage, end-user devices, software licenses, cloud subscriptions, security solutions, accessories, and peripherals.
• Issue and manage purchase orders, obtain supplier quotations, negotiate commercial terms, and monitor orders through completion.
• Align purchases with customer requirements, budgets, and delivery timelines.

Vendor and Sales Support

• Maintain relationships with technology manufacturers, distributors, and channel partners while monitoring delivery, pricing, availability, and service levels.
• Support vendor contract negotiations, supplier reviews, and escalation of shortages, backorders, disputes, and shipping issues.
• Support sales with sourcing, pricing, special bids, deal registration, product costs, and alternative products.

Inventory, Logistics, and Returns

• Monitor inventory and demand, replenish stock, identify slow-moving or obsolete products, and support inventory audits and reconciliation.
• Track shipments, coordinate warehouse and logistics deliveries, resolve receiving issues, and maintain transaction documentation.
• Coordinate RMAs, returns, replacement timelines, warranty issues, credits, and vendor claims.

Financial Management and Reporting

• Validate invoices against purchase orders and receipts, investigate pricing discrepancies, and monitor procurement impact on gross margin.
• Track rebates, compare Canadian and U.S. dollar costs, manage freight cost recovery, and recommend cost reduction initiatives.
• Generate reports on procurement, vendor performance, spend, inventory, savings, open orders, ETAs, and shipment progress.
• Improve workflows and create process documentation and job notes.

Qualifications and Experience

• Diploma or degree in Communications and Interpersonal Business Communications.
• At least three years of procurement or purchasing experience.
• IT distribution, technology reselling, managed services, or related industry experience is preferred.
• Experience purchasing hardware, software licensing, cloud services, and technology solutions.

Systems and Skills

• Experience with ConnectWise quoting and procurement platforms.
• Advanced Microsoft Excel skills are preferred.
• Strong negotiation, vendor management, communication, relationship-building, analytical, and problem-solving skills.
• Knowledge of procurement best practices, inventory planning, and demand forecasting.
• Ability to prioritize requests and work independently and collaboratively.

Preferred Certifications

• HPE Sales Certified certifications, Dell Technologies Proven Professional certification, Fortinet Certified Fundamentals, Palo Alto Accredited Sales Expert, or F5 Certified Technical Professional are preferred.

Compensation and Benefits

• Pay is $38.40 per hour, with expected hours of 40 per week.
