Job Summary

Manage end-to-end procurement operations for a fleet of vessels, including lubricants, chemicals, paints, spares, and critical stores.

Coordinate with Technical Managers, vendors, superintendents, and inventory management companies.

Use negotiation, PMS/ERP software, and maritime procurement experience to support vessel operations.

Procurement and Fleet Supply

  • Manage requisition and purchase modules on Technical Managers' PMS software.
  • Procure lubricants, paints, chemicals, spares, and critical stores for a multi-vessel fleet.
  • Source quotations for critical or hard-to-find spares and maintain minimum onboard quantities.
  • Maintain fleet-wide lubricant and chemical databases and track monthly spare-parts consumption.
  • Arrange VSAT, FBB, and Starlink communication systems for fleet vessels.

Vessel Takeover and Logistics

  • Plan procurement and logistics for vessel takeovers, including LSA/FFA services, radio surveys, calibrations, stencils, stamps, stores, gas bottles, chemicals, and lubricants.
  • Coordinate vessel handovers with agents, exclusion-item landing, supplier contracts, and freight forwarding.
  • Arrange spares and lubricants for demonstration vessels when requested.
  • Coordinate with recycling teams on spare and stores requirements and provide daily reporting.

Finance and Cost Control

  • Maintain monthly ROB, supply, and consumption records in Excel for all vessels.
  • Review quotations and invoices from Technical Managers for approval.
  • Review, approve, and upload invoice payments in the ERP system.
  • Manage drydock accounting, track drydocking costs, negotiate expenses, and control stores, spares, and service-supply costs.
  • Resolve invoice and purchase-order discrepancies and manage credit notes and statement-of-account reconciliation.

Owner-Related Works

  • Arrange UTM, sludge, slop, and underwater jobs for owner-related works.

Required Skills and Qualifications

  • Bachelor's degree in Marine Engineering, Supply Chain, Business, or a related field.
  • At least 3 years of procurement or purchasing experience in the shipping or maritime industry.
  • Hands-on PMS or ERP software experience; Mariapps experience is advantageous.
  • Strong negotiation, vendor management, communication, organizational, and multitasking skills.
  • Excel proficiency and experience with drydock cost control and vessel handover or takeover procedures.
  • Knowledge of maritime compliance items, including LSA/FFA, radio surveys, and gas detector calibration.
