Job Title: Procurement Manager – Provisions & Technical

Job Purpose

Responsible for the end-to-end sourcing, negotiation, and procurement of provisions, bonded stores, technical spares, and deck/engine consumables for vessels calling at UAE ports.

This role ensures vessels receive cost-effective, fully compliant, and timely supplies, directly supporting our shipchandling operations and customer satisfaction.

1. Provisions & Bonded Stores Procurement

  • Source fresh produce, frozen/dry provisions, and bonded stores from approved UAE suppliers and markets.
  • Ensure all food items meet vessel nationality requirements, crew dietary needs, and HACCP/ phytosanitary standards.
  • Manage cold chain integrity from supplier to warehouse/vessel, monitoring temperatures and shelf life to prevent spoilage.
  • Negotiate seasonal pricing and volume contracts to minimize waste while maintaining sufficient stock for multiple vessel calls.

2. Technical Procurement & Sourcing

  • Source marine spare parts, deck/engine consumables, safety equipment, paints, chemicals, and tools based on vessel RFQs and technical specifications.
  • Cross-reference IMPA codes, OEM part numbers, and technical datasheets to ensure exact product match or approved equivalents.
  • Coordinate with suppliers to obtain necessary certificates, datasheets, and documentation for class inspections or customs.

3. Vendor & Supplier Management

  • Identify, evaluate, and onboard reliable vendors for both provision and technical categories; target new quality vendors regularly.
  • Conduct quarterly supplier performance reviews covering price, quality, lead time, and contingency planning.
  • Negotiate pricing, payment terms, and delivery schedules to optimize total acquisition costs.

4. Order Management & Vessel Delivery Coordination

  • Process Purchase Requests (PRs) and issue Purchase Orders (LPOs) accurately.
  • Coordinate closely with operations, warehouse, and logistics teams to ensure on-time delivery to vessels at UAE ports.
  • Handle urgent and last-minute orders aligned with vessel schedules and berthing changes.
  • Liaise with port agents, customs, and vessel officers regarding delivery requirements and compliance (ISPS, port health regulations).

5. Inventory & Cost Management

  • Monitor stock levels for fast-moving provision and technical items; set reorder points to prevent stockouts and expiry.
  • Achieve cost savings through bulk discounts, alternative sourcing, and contract negotiations without compromising quality.
  • Maintain accurate records of quotations, purchase history, and supplier pricing in ERP system.

6. Compliance & Documentation

  • Ensure compliance with UAE customs, port health, and maritime safety regulations.
  • Manage documentation for hazardous materials (MSDS) and restricted items.
  • Maintain organized filing of PRs, LPOs, and supplier certificates.

Essential

  • 3–5+ years procurement experience in ship chandling, marine supply, or maritime logistics, with proven exposure to both provisions and technical categories.
  • Strong knowledge of marine products, vessel requirements, and UAE port operations.
  • Experience with IMPA codes and technical specifications.
  • Excellent negotiation, supplier management, and problem-solving skills.
  • Proficiency in MS Office and ERP systems (e.g., Zoho, ShipServ, or similar).
  • English fluency (written and spoken) is mandatory; Hindi is a strong advantage in UAE market.
  • Valid UAE driving license preferred.

Desirable

  • Experience with fresh food sourcing (HACCP, cold chain).
  • Familiarity with ShipServ or similar maritime procurement platforms.

Working Conditions

  • Office-based with frequent coordination with warehouse, port, and vessel operations.
  • Ability to work irregular hours (nights, weekends) to meet vessel schedules and emergency orders.
  • Fast-paced, time-sensitive environment requiring quick decision-making under pressure

Pay: AED7,797.62 - AED12,000.00 per month
