Position Overview
Trillium Health Partners (THP) is seeking an experienced Project Manager to join its Capital Planning and Redevelopment portfolio.
Reporting to the Manager of Planning and Design, (Mississauga Hospital/Msite), the Project Manager will support work on contract administration on behalf of the Contracting Authority (the Hospital, Infrastructure Ontario (IO) and their consultants).
This role will involve collaboration with a large team of THP and external members working in an IO P3 delivery framework.
The role will entail both overseeing and coordinating the work of others in construction/contract administration tasks as well as providing feedback in meetings, through correspondence and in documentation to ensure the Hospital’s requirements are carried through in construction.
Here’s what you will get to do:
Manage the Request for Information (RFI) workflow.
You will be responsible for receiving the requests, circulating them to the appropriate individuals for response, compiling responses from different parties, and returning the responses within the contractually allowed time frame.
You will monitor the progress of RFIs through maintenance of an RFI log and be able to report on their status in meetings and reports.
Act as the Hospital’s representative in interfacing with the Constructor (Project Company/PCo) on the core-and-shell and other specific building or program areas.
In this capacity you will review documentation such as Issued for Construct (IFC) document sets and construction related submittals (RFIs, shop drawings, product information, samples, mock-ups etc) to ensure they align with documented Hospital requirements.
You will conduct site review to confirm alignment of the built work.
You will attend meetings and respond (in consultation with others) to questions from PCo about their assigned program/building areas.
Coordinate between internal stakeholders including Hospital user groups and staff and external stakeholders including PCo and their delegates, IO, Consultants etc.
Develop a robust working knowledge of existing documentation of hospital requirements relevant to your assigned building/program areas.
This will include sections of the Project Output Specifications (PSOS) and in-progress variations, as well as meeting minutes and recordings from previous User Group Meetings, Design Review Meetings and Ad Hoc Meetings.
Work closely with other team members as assigned program/building areas will be interconnected with the subject areas of others.
This may include other program/building areas, building systems, furniture fixtures and equipment (FF&E), operations etc.
Learn and work with two separate project management information systems (PMIS).
Together with other Contract Administration team members you will be responsible for uploading, downloading and filing of submittals from the Project Company.
You will assist in daily upkeep of the PMIS systems.
Receive and respond to a large volume of emails, texts and other forms of communication produced from the churn of a large-scale project.
Attend and convene online meetings (via Teams) with teammates, consultants, stakeholders, and members of PCo.
Key Criteria
University or College degree, preferably in Construction Management, Engineering, Architecture or a design field related to building construction.
An equivalent combination of education and experience will be considered.
Minimum of 5 years project management/construction management health experience
Experience in contract administration on construction projects
Experience delivering healthcare projects
Ability to lead and manage a portfolio of design and construction activity
Ability to track and evaluate project performance in areas of responsibility
Ability to identify risk, and risk mitigations in consultation with leaders
General knowledge of capital budgets, accounting and financial management
Experience reading and understanding construction documents including drawings, specifications, reports and schedules
Experience With Pmis Systems
Experience delivering an AFP / DBFM project would be an asset
Excellent oral and written communication and interpersonal skills
Excellent time management when working with competing priorities and demanding schedules
Good competencies using Microsoft applications including Excel, Word, Outlook, PowerPoint, Bluebeam and Teams
Strong problem-solving skills
Strong planning and analytical skills
Ability to work independently
Ability to work effectively with a team
Knowledge of and experience with hospital operations and environments would be an asset.
Location
We offer employees in roles that are conducive to remote work, flexibility, and the right mix of remote and in-office work (approximately 80/20).
Acknowledging that the primary works space will be remote work from home, there will be times when onsite presence is appropriate just as there will be times when onsite presence may not be possible.
The expectation is that remote work locations, as part of the Flex First program, will be in the employee’s place of residence, and adhere to all THP policies and procedures, with special consideration towards privacy.
Since employees should be available to return to the workplace with 24 hours’ notice, remote work outside of the province or country is not acceptable
