Summary
Support the Facilities Manager and wider International Facilities Management Team with general office requests, administration, moves and changes, DSE assessments, upkeep of move management and desk reservation software, planned maintenance, overseeing and escorting contractors, vendors and ad hoc tasks.
Responsibilities include
- Assist with all aspects of moves and changes, including small construction projects, furniture procurement, allocation of storage, filing and keys
- Ownership of desk reservation and move management software, ensuring neighbourhoods, seating plans and CADM reports are always current
- Assist with internal events, including furniture changes, catering, set up and down etc.
- Assistance with collating planned maintenance documentation and ensuring compliance with regulations
- Overseeing contractors and vendors as and when required
- Liaising with Landlord service providers, including escalation of critical items, ensuring the highest standards of services are provided
- Raising facilities related requisitions and purchase orders
- First response and management of first aid incidents
- Assistance with health and safety documentation, including the production and upkeep of building information packs
- First response to helpdesk requests and emails, actioning as required in a timely manner
- Fulfil any additional ad hoc duties as and when required to meet the needs of the business
- Assistance with the production of both monthly and quarterly premises reports for senior management
