Responsibilities
- Process purchase requisitions, service requests, and work orders via Yardi
- Secure competitive proposals for non contractual work orders and corporate procurement
- Manage sourcing for maintenance contracts and work orders
- Prepare and issue tender documents including RFPs, SOW, and service agreements
- Lead tendering process from bidder list to contract award recommendation
- Negotiate with bidders to optimize cost and finalize contract terms
- Coordinate technical evaluations with business units
- Process commercial evaluation and obtain expenditure approvals per DOA
- Prepare award recommendation memorandum for final approval
- Execute service contracts or work orders in Yardi
- Manage contract lifecycle including terminations, extensions, and renewals
- Coordinate invoice receipt and service completion reports for vendor payment
Requirements
- Experience in corporate procurement and contract lifecycle management
- Knowledge of tendering processes and contract negotiation
- Proficiency in Yardi or similar ERP systems
- Strong organizational and documentation skills
- Excellent communication and negotiation skills

Main Tasks & Responsibilities
- Systematically receive and validate Purchase Requisitions (PRs), Service Requests (SRs), and Work Orders (WOs) from Business Units and Facilities Management Departments via Yardi.
- Proactively secure competitive proposals for all non contractual work orders and standard corporate procurement requirements.
- Manage the process of obtaining competitive bids for routine Maintenance Contracts and Maintenance Work Orders as submitted through Yardi.
- Own the end to end preparation and issuance of all formal tender documents, including RFPs, Invitations to Tender, SOW, Service Agreement formats, and appendices.
- Lead and coordinate the entire tendering process from bidder list to contract award recommendation.
- Engage in high stakes negotiations with selected bidders to optimize cost, finalize contract terms, and secure favorable agreements.
- Submit technical proposals to relevant Business Units and coordinate timely provision of approved technical evaluations.
- Process documentation for commercial evaluation and obtain expenditure approvals per Delegation of Authority.
- Prepare and submit the formal Award Recommendation Memorandum for final approval.
- Execute and process creation and approval of Service Contracts or Maintenance Work Orders within Yardi.
- Initiate processes for creating Purchase Orders, Job Contracts, or Service Contracts for approved procurement.
- Proactively manage contract lifecycle including terminations, extensions, and renewals; coordinate invoice receipt and service completion reports.
