Role Purpose
The Procurement Officer manages day-to-day procurement activities for Brighton College Dubai.
The role sources goods, services, and works efficiently and competitively in line with procurement policies, financial controls, and operational requirements.
The role contributes to cost management, supplier performance, procurement compliance, and continuous process improvement.
Procurement and Purchasing
- Manage the end-to-end procurement process from purchase requisition through purchase order, delivery, and invoice coordination.
- Source goods, services, and works in line with approved specifications, budgets, and timelines.
- Obtain and evaluate competitive quotations and proposals.
- Prepare comparative statements and procurement recommendations for approval.
- Negotiate pricing, payment terms, delivery schedules, and other commercial conditions.
- Monitor outstanding purchase orders and follow up with suppliers for timely delivery.
Supplier Management
- Identify, evaluate, and develop reliable suppliers across education resources, facilities, IT, catering, events, uniforms, furniture, office supplies, and professional services.
- Maintain an accurate approved supplier database.
- Support supplier onboarding and due diligence, including commercial, legal, and compliance documentation.
- Monitor supplier performance against service, quality, cost, and delivery requirements.
- Address supplier issues and support supplier reviews and contract renewals.
Cost Control and Compliance
- Support cost efficiencies and identify savings opportunities.
- Monitor procurement expenditure against approved budgets.
- Analyse quotations, pricing trends, and purchasing patterns.
- Maintain records for financial reporting and audit requirements.
- Ensure procurement activity complies with policies, delegated authority limits, financial controls, and applicable UAE requirements.
- Maintain documentation and audit trails for procurement decisions.
Stakeholder and Systems Management
- Work with Finance, Operations, Facilities, IT, Admissions, HR, Academic, and other departments to understand purchasing requirements.
- Provide procurement advice on sourcing options, specifications, supplier selection, and commercial considerations.
- Maintain procurement records in finance and procurement systems.
- Prepare reports covering expenditure, savings, supplier performance, outstanding orders, and relevant KPIs.
- Improve procurement workflows and support digital procurement solutions and automated workflows.
School-Specific Procurement
- Support procurement for school events, educational programmes, facilities projects, staff requirements, new academic years, school openings, and major events.
- Ensure educational resources, equipment, and services meet required specifications and timelines.
- Ensure suppliers understand expectations regarding professional conduct, safeguarding, confidentiality, and site requirements.
Person Specification
- Relevant qualification in procurement, supply chain management, business, finance, or a related discipline.
- Minimum three years of relevant procurement or purchasing experience, preferably within the UAE.
- Strong knowledge of procurement processes, supplier management, and commercial negotiation.
- Experience managing quotations, purchase orders, supplier documentation, and procurement records.
- Strong analytical and numerical skills.
- Strong Microsoft Excel skills and experience using ERP, finance, or procurement systems.
- High attention to detail, strong organisation, and the ability to manage multiple priorities and tight deadlines.
- Strong commercial judgement, negotiation skills, integrity, and professional discretion.
Desirable Experience
- Procurement experience within a school, education group, hospitality, premium service organisation, or similarly complex environment is desirable.
- Knowledge of UAE procurement practices and supplier markets is desirable.
- Experience managing service contracts, supplier performance, digital procurement, or workflow automation is desirable.
Workplace and Safeguarding
- The work location is in person.
- The successful candidate must comply with safeguarding policies and procedures and complete appropriate pre-employment checks in accordance with UAE requirements and safer recruitment standards.
Compensation
- Pay is listed as AED 8,000 to AED 10,000 per month.
