Role Overview

The employer is seeking a motivated and organized Logistics Executive to manage procurement, shipments, import/export documentation, order fulfillment, inventory, and logistics costs.

The role coordinates suppliers, freight forwarders, customs, internal teams, and Sales to ensure timely customer order delivery.

Procurement and Order Management

Issue and manage purchase orders, verify pricing, obtain supplier confirmations, and track orders through completion.
Process customer orders, issue order acknowledgements, arrange outbound shipments, and ensure deliveries meet agreed timelines.
Follow up with suppliers, resolve order discrepancies, coordinate RMAs and samples, and support vendor payment coordination.

International Shipping and Customs

Coordinate and monitor import shipments from origin to destination and advise on appropriate routes and shipping methods.
Track shipments and address delays, damages, discrepancies, and customs-related inquiries.
Liaise with suppliers, freight forwarders, shipping lines, customs brokers, and authorities to support clearance and delivery.

Documentation and Compliance

Prepare, review, and maintain invoices, packing lists, AWB/BL, certificates of origin, exit certificates, and other import/export documents.
Follow up on packing lists, invoices, and shipment documents and apply for MOFAIC attestation when required.
Handle TDRA registration, supplier registration, and upload vendor bills and documents into Zoho.

Costs, Inventory, and Reporting

Negotiate freight rates, review transportation costs, and calculate landed costs.
Monitor stock levels, support replenishment planning, maintain inventory records, and conduct regular stock takes.
Maintain shipment, order, inventory, and logistics records and provide operational and controlling reports to management.
Identify and resolve shipping, billing, documentation, and order issues while improving logistics efficiency and reducing costs.

Cross-Functional and Sales Support

Work with Sales, Product Management, Finance, Customer Service, and other teams to support order processing and fulfillment.
Maintain customer and order information in Zoho CRM and support Sales with stock availability, lead times, delivery updates, customer follow-ups, and sales opportunities.
Coordinate with Sales and Logistics teams on pending orders, customer documents, shipping requirements, and required actions.

Required Qualifications

Bachelor's degree or diploma in supply chain management, logistics, international business, business administration, or a related field.
2–5 years of experience in logistics, supply chain, procurement, import/export, or a similar role.
Strong knowledge of international shipping, including air and sea freight, Incoterms, freight costs, and customs procedures.
Experience with import/export documentation and UAE customs requirements is mandatory.
Experience dealing with suppliers, freight forwarders, customs brokers, and shipping companies is mandatory.
Strong communication, interpersonal, organizational, follow-up, and attention-to-detail skills.
Proficiency in Microsoft Office applications.
Fluency in English and Arabic is mandatory.
