Role Overview
The Procurement Coordinator / Logistics Coordinator supports purchasing, supplier coordination, inventory management, order processing, transportation, delivery scheduling, and logistics operations.
The role coordinates with suppliers, vendors, warehouses, freight providers, internal departments, and customers to ensure accurate and timely sourcing, transport, receipt, and delivery.
Procurement Coordination
- Coordinate daily procurement and logistics activities according to company procedures.
- Prepare and process purchase requests, purchase orders, quotations, and procurement documentation.
- Source suppliers, vendors, products, materials, and services based on approved requirements.
- Compare supplier pricing, lead times, payment terms, and delivery conditions.
- Follow up on purchase orders, supplier confirmations, outstanding items, and delivery status.
Logistics and Inventory
- Coordinate inbound and outbound shipments, transportation arrangements, and delivery schedules.
- Liaise with freight forwarders, transport companies, couriers, warehouses, suppliers, and logistics providers.
- Coordinate receiving, inspection, storage, dispatch, and distribution of goods and materials.
- Monitor inventory levels and coordinate replenishment to prevent shortages or excess stock.
- Verify delivered goods against purchase orders, specifications, quantities, and delivery documents.
Records and Compliance
- Prepare and verify shipping documents, delivery notes, invoices, packing lists, purchase orders, and related records.
- Maintain accurate and confidential supplier, procurement, shipment, inventory, delivery, and transaction records.
- Coordinate with finance and accounts teams regarding invoices, purchase orders, supplier payments, and documentation.
- Support procurement audits, inventory checks, logistics reviews, and internal compliance activities.
- Ensure activities comply with company policies, contractual requirements, and applicable regulations.
Operational Improvement
- Support supplier evaluation, onboarding, performance monitoring, and relationship management.
- Assist with procurement cost analysis, purchasing reports, logistics reports, and operational performance tracking.
- Identify opportunities to improve purchasing efficiency, delivery performance, inventory control, transportation costs, and supply-chain processes.
- Coordinate with sales, operations, warehouse, finance, production, and other internal departments.
Qualifications
- A diploma or bachelor's degree in procurement, supply chain management, logistics, business administration, operations management, or a related field is required.
- Previous experience in procurement, purchasing, logistics, supply chain, inventory, or operations coordination is preferred.
- Good understanding of procurement processes, supplier management, inventory control, transportation, and logistics operations is required.
- Strong knowledge of purchase orders, quotations, invoices, shipping documentation, and delivery processes is required.
Required Skills
- Strong organizational, coordination, follow-up, and administrative skills are required.
- Excellent attention to detail and accuracy are required.
- Good negotiation, communication, and supplier-management skills are required.
- Strong problem-solving, time-management, and multitasking abilities are required.
- Proficiency in Microsoft Office, especially Excel and Word, is required.
Advantageous Skills
- Familiarity with ERP, procurement, inventory-management, warehouse-management, or logistics systems is advantageous.
- Knowledge of import/export procedures, customs documentation, and freight coordination is advantageous.
