Principal Administrative Coordinator

• Oversee DOE‑related correspondence and deliverables, including drafting letters, maintaining status updates in CCTS, and partnering with contracting professional leads to ensure alignment and accuracy.
• Manage division correspondence workflows by routing materials for administrative completeness, tracking deadlines and status updates, coordinating cross‑organizational reviews, and proactively following up with responsible parties to ensure timely completion of outstanding actions.

• Coordinate cross‑directorate training activities, including scheduling TOR 1 Teams‑based sessions, managing participant queues, and partnering with the BSD training coordinator, Program Management Lead, and instructors for seamless execution.
• Foster a collaborative BSD administrative team by supporting cross‑training and mentoring peers to uphold high‑quality administrative practices across the directorate.

• Serve as a primary liaison for the Division Director and Leadership Team by representing the division professionally, exercising sound judgment in managing priorities and escalations, and coordinating information and activities across multiple organizations to support effective communication and alignment.
• Build and maintain effective working relationships with administrative partners across PNNL, federal site office contacts at PNSO, and external collaborators.

• Coordinate administrative activities across team members to ensure consistent, efficient execution of division business and alignment of operational priorities.
• Apply in‑depth knowledge of department and laboratory processes to independently manage complex administrative responsibilities and maintain high standards of accuracy and compliance.
• Identify administrative issues and improvement opportunities, recommend practical solutions, and support the implementation of enhanced administrative practices and processes across the division and related organizations.

• High school diploma/GED and 12 years of relevant experience in an administrative environment -OR-
• AA degree or higher and 10 years of relevant experience in an administrative environment.
• Experience in planning meetings and coordinating travel

• Strong communication skills with the ability to engage effectively with diverse audiences, including senior managers and external clients.
• Demonstrated sound judgment and initiative in facilitating programs, policies, and procedures.
• Ability to manage sensitive and confidential matters with professionalism.
• Autonomous oversight of administrative processes and procedures.
• Extensive working knowledge of departmental and company policies and practices.
• Consistent identification and recommendation of process improvements and enhancements to directorate or group practices.
• Experience serving as a liaison to support coordination of business activities.
• Proven ability to multi‑task, prioritize, and organize work under tight deadlines and shifting priorities.
• Ability to manage day‑to‑day office and team coordination with minimal supervisory input.
• Trained in B2B purchasing and coordinates regular office supply procurement.

To obtain this credential, new employees must successfully complete the applicable tier of federal background investigation post hire and receive a favorable federal adjudication.

The tier of federal background investigation will be determined by job duties and national security or public trust responsibilities associated with the job.

All tiers of investigation include a declaration of illegal drug activities, including use, supply, possession, or manufacture within the last 1 to 7 years (depending on the applicable tier of investigation).

Illegal drug activities include marijuana and cannabis derivatives, which are still considered illegal under federal law, regardless of state laws.

For foreign national candidates:

If you have not resided in the U.S. for three consecutive years, you are not eligible for the PIV credential and instead will need to obtain a favorable Local Site Specific Only (LSSO) Federal risk determination to maintain employment.

Once you meet the three-year residency requirement thereafter, you will be required to obtain a PIV credential to maintain employment.

The tier of federal background investigation required to obtain the PIV credential will be determined by job duties at the time you become eligible for the PIV credential.

Please be aware that the Department of Energy (DOE) prohibits DOE employees and contractors from having any affiliation with the foreign government of a country DOE has identified as a “country of risk” without explicit approval by DOE and Battelle.
