Responsibilities
- Provide PPM systems and toolkits expertise by offering guidance and tooling support related to portfolio reporting, controls, and standard templates
- Maintain portfolio metadata standards to ensure consistency and integrity across the PPM system
- Improve the efficiency and quality of portfolio reporting and system support by leveraging process automation, dashboards, AI tools, and other technology enabled methods
- Monitor portfolio data and indicators for projects within the VFPA project portfolio and prepare regular assessments of data quality, key project performance indicators, and qualitative factors
- Establish and maintain portfolio data quality standards and controls (completeness, accuracy, timeliness), track exceptions, coordinate remediation, and escalate material or recurring issues as required
- Analyze project and portfolio data to identify trends, exceptions, and emerging risks, and provide early warning signals to support portfolio review forums and decision support
- Liaise with portfolio stakeholders to collect, validate, and reconcile portfolio data in support of portfolio reporting needs
- Prepare and maintain portfolio status updates, dashboards, and reporting materials to support portfolio review forums and decision making
- Identify and escalate data anomalies, material risks, and gaps in reporting to the Manager, Project Portfolio Management and Senior Portfolio Advisor for timely action
- Demonstrate and promote the effective use of PPM processes and tools
- Identify planning and scheduling interdependencies and conflicts within the VFPA project portfolio
- Support the identification and integration of lessons learned and improvement opportunities
Requirements
- Completion of a two year full time diploma in data analytics, data engineering, management information systems, business administration, supply chain management, or another acceptable field
- Minimum three (3) years of experience in data analytics, portfolio reporting or business systems administration with at least one (1) year of experience in project management
- Experience configuring or administering Smartsheet, Smartsheet Control Center, SharePoint, or workflow/automation platforms and experience demonstrating the use of these tools to others
- Strong technical aptitude with the ability to learn, configure, and optimize business systems, including PPM tools, workflow platforms, and reporting dashboards
- Demonstrated analytical and problem solving skills with the ability to interpret data, identify trends, assess data quality, and develop meaningful insights
- Strong understanding of project management concepts, terminology, and lifecycle processes
- Strong interpersonal, written, and verbal communication skills
- Effective organizational and time management skills

What You Do

- Maintain portfolio metadata standards to ensure consistency and integrity across the PPM system.

What You Bring
- Completion of a two year full time diploma in data analytics, data engineering, management information systems, business administration, supply chain management, or another acceptable field.
- Minimum three (3) years of experience in data analytics, portfolio reporting or business systems administration with at least one (1) year of experience in project management.
- Experience configuring or administering Smartsheet, Smartsheet Control Center, SharePoint, or workflow/automation platforms and experience demonstrating the use of these tools to others.
- Completion of a relevant foundational project or program management designation (e.g. CAPM) is an asset.
- Strong technical aptitude with the ability to learn, configure, and optimize business systems, including PPM tools, workflow platforms, and reporting dashboards.
- Demonstrated analytical and problem solving skills with the ability to interpret data, identify trends, assess data quality, and develop meaningful insights.
- Strong understanding of project management concepts, terminology, and lifecycle processes, with the ability to apply this knowledge to portfolio monitoring and reporting.
- Strong interpersonal, written, and verbal communication skills, with the ability to collaborate effectively with project leads, technical teams, and PMO colleagues to clarify information and resolve issues.
