Role Overview

  • We are currently seeking an experienced Personal Assistant to provide high level administrative and executive support to our Managing Partner.
  • The ideal candidate must have prior experience working in a UAE law firm environment and demonstrate exceptional organisational skills, professionalism, and the ability to manage highly confidential matters with absolute discretion.
  • The role requires strong attention to detail, the ability to prioritise competing demands, and confidence in liaising with high net worth clients, senior stakeholders, and government authorities.

Requirements

  • Must have a Bachelor's Degree or relevant certification and a minimum of 4 years of experience as a Personal Assistant.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Strong organisational, time management, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • High level of professionalism and discretion in handling confidential information.
  • Detail oriented and proactive with a positive attitude.
  • Experience supporting senior management or partners is preferred.

Responsibilities

  • Provide comprehensive executive and secretarial support to the Managing Partner.
  • Manage and coordinate a complex and demanding calendar, including client meetings, internal meetings, and external engagements.
  • Act as the first point of contact for clients, senior stakeholders, government authorities, and business partners.
  • Draft, prepare, proofread, and format documents, correspondence, engagement letters, and presentations to a high professional standard.
  • Liaise with government authorities, free zones, and regulatory bodies to facilitate filings and appointments.
  • Maintain and organise highly confidential client files, both electronic and physical.
  • Coordinate travel arrangements, itineraries, and accommodation for business trips.
  • Screen and prioritise incoming calls, emails, and correspondence on behalf of the Managing Partner.
  • Assist with the preparation of reports, business proposals, speaking engagements, and marketing initiatives when required.
  • Support the Managing Partner with administrative and strategic matters to ensure smooth daily operations.
  • Handle sensitive and confidential information with the highest level of discretion and professionalism.
