Responsibilities
- Own end to end People Operations: run and continuously improve core HR processes (e.g. onboarding, offboarding, visa coordination, benefits administration), ensuring a smooth employee experience and operational efficiency
- Drive operational excellence projects: optimize operational processes by identifying inefficiencies and implementing automation solutions
- Manage employment documentation: drive contract preparation and lifecycle management with strong attention to detail and compliance
- Build and maintain internal policies: develop, standardize, and keep policies up to date (e.g., WFH, insurance, leave, expenses), ensuring clarity, consistency, and adoption across the team
- Run HR systems and data: own HR tooling and data quality (completeness, accuracy, access control, legal compliance), and produce reliable people/ops reporting when needed
- Manage office operations and vendors: handle key vendor relationships (selection, contract/price negotiations), procurement, and act as day to day point of contact for the landlord/office needs
- Support culture and team effectiveness: drive employee satisfaction initiatives, organize team events/offsites, and support or facilitate workshops to strengthen collaboration and culture
Requirements
- 3+ years of experience in at least two of the following fields: Operations, HR, Office Management (startup or high growth environment preferred)
- Exceptional organization and attention to detail (documentation, deadlines, stakeholder follow up, handling sensitive information with discretion)
- Clear, friendly, and professional communication in writing and verbally; able to coordinate across functions and level
- Proven ability to independently run multiple workstreams in parallel — balancing day to day execution with longer term improvements
- Confident with HR systems and collaboration and project/documentation tools such as Jira, Confluence (or equivalents)
- Thriving in a fast changing environment; brings structure without adding bureaucracy; pragmatic and solutions oriented
- Fluent in both Russian and English
