Part-Time Workforce Scheduling Support Assistant

This position reports directly to the People & Workforce Operations Coordinator and serves as a key support role within our Workforce Operations team.

The primary focus of this position is to assist with employee scheduling and workforce coordination to help ensure our clients receive consistent, uninterrupted service.

The ideal candidate is organized, dependable, detail-oriented, and able to adapt in a fast-paced environment while maintaining excellent communication with employees, supervisors, and clients.

• Part-time, approximately 2–3 days per week .
• Hybrid schedule with a combination of remote and in-office work.
• Flexibility to adjust scheduled days based on operational needs.
• Occasional on-call availability is required to assist with urgent staffing needs, employee call-offs, and schedule changes.

• Assist the People & Workforce Operations Coordinator with creating and maintaining employee work schedules.
• Help coordinate staffing coverage to ensure all client locations are properly staffed.
• Assist with employee call-offs, PTO requests, shift swaps, and schedule adjustments.
• Contact employees to fill open shifts and support last-minute staffing needs.
• Update scheduling systems and maintain accurate scheduling records.
• Communicate schedule updates and staffing information to employees and supervisors.
• Prepare and distribute employee schedules and client staffing rosters.
• Assist with reviewing employee timecards and identifying timekeeping discrepancies.
• Support payroll preparation by verifying time entries and labor codes.
• Maintain workforce spreadsheets, reports, and scheduling documentation.
• Assist with onboarding coordination by scheduling orientations and training sessions.
• Provide general administrative support to the Workforce Operations team.
