About the role

The Division of Cancer, in the Department of Surgery and Cancer, is seeking a highly motivated and experienced Personal Assistant to provide high-level professional executive support to the offices of five Professors.

The Professors supported are a mixture of clinical and non-clinical academics, and the work of the office follows their research: grant applications and funder deadlines, laboratory and facility purchasing, international collaborations, publications, seminars and conferences, and the staff and students behind them. The postholder will play a pivotal role in supporting the five Professors, undertaking a wide range of duties and organisational responsibilities as directed by the Divisional Manager - Cancer.

What you would be doing

The postholder will be responsible for the effective and efficient day-to-day management and organisation of the offices of the Professors and will provide administrative support. Key responsibilities will include, but are not limited to, complex diary management, arranging appointments and visits, drafting correspondence and reports, preparing presentations, making national and international travel arrangements, supporting grant applications to funder deadlines, raising purchase orders and processing invoices and expenses, organising seminars and the visits of external speakers including their travel and transport to College, and supporting undergraduate and postgraduate educational activities within the Division in conjunction with the appropriate Departmental and Divisional administrative teams.

What we are looking for

The postholder will have a proactive approach and possess exceptional organisational, prioritisation and communication skills, with the ability to use their initiative to prioritise and manage complex tasks and diary arrangements across several senior people at once. The postholder will be confident working independently and with ambiguity, as well as being a strong team player. Strong written accuracy and numerical skills are essential, as is either a working knowledge of scientific terminology or the ability to acquire it quickly.

Proven experience in a similar role, supporting senior colleagues as a personal or executive assistant, is essential, as is experience of working in a research, higher education, scientific or healthcare environment. Experience of research administration, grant applications or student administration would be an advantage.

This role is full-time, open-ended (35 hours per week).

This role is five days a week on-site only. The offices, laboratories and imaging facilities this post supports are on campus, and the postholder is the first point of contact for the staff, students and visitors who come to them.
