The Operations Manager will serve as a key team member and active leader responsible for the ACSTL administrative and business activities. The Operations Manager’s primary responsibilities are to: manage organization's finances, oversee human resource functions, facilitate efficient program and office operations.
RESPONSIBILITIES
Financial Management
Oversee accounts payable activities, including review, coding and payment of invoices
Oversee accounts receivable, including processing deposits and invoicing project partners
Complete monthly bank reconciliation and prepare financial reports for staff / Board meetings
Prepare and submit cost reimbursement grant requests and related expense reports
Administer payroll through cloud-based system
Support annual budgeting process
Support completion of the annual financial audit and 990 filing with third-party accounting firm
Human Resources
Manage human resource functions, including new hire onboarding and employment records
Manage AmeriCorps Member compliance, including enrolling and exiting Members annually, conducting background checks, and issuing Member benefits
Oversee staff benefits administration
Coordinate all injury and workers compensation claims
Support hiring, salary administration and performance review processes as needed
General Administration & Facilities
Review and process facility contracts
Oversee building security systems
Complete annual business registrations
Coordinate office technology, including internet, Google suite, and software subscriptions
Strategic Planning and Strategic Implementation

In collaboration with the Executive Director, establish annual goals for administration and operations.

QUALIFICATIONS

3+ years of relevant experience
Knowledge of multiple operational functions and principles, including finance, human resources, operations, and grant management
Proven ability to plan and manage operational processes for maximum efficiency and productivity
Initiative to act independently with minimal supervision
Demonstrated good judgement and problem-solving skills
Flexibility, adaptability, and capacity to fulfill responsibilities in a fluid environment.
Must pass criminal history background check(s)
DESIRED COMPETENCIES AND CHARACTERISTICS
Bachelor’s degree in business administration, accounting, human resources, or a related field
Familiarity with AmeriCorps and local, state and federal natural resource agencies and organizations
Intermediate financial/accounting/bookkeeping skills
Negotiation skills in both internal and external settings
Knowledge of human resource functions (payroll, benefits, recruitment, training and development etc.)
Understanding of labor laws and disciplinary procedures
Enthusiastic customer service orientation, excellent writing, and communication skills
Strong ethics and reliability
Comfort using and learning a wide variety of systems and software, including but not limited to Quickbooks, Google Suite, Adobe, Airtable, and Zoom

SITE CONDITIONS
This position is required to sit, stand, walk, speak, and hear, balance, stop, kneel, or crouch on an infrequent basis. They must be able to operate a computer. Reasonable accommodations may be made for qualified individuals to perform the essential functions. Monday – Friday, flexible 37.5-hour work-week.
