Role overview
The Operations Executive supports the smooth operation of client trips for a luxury tour operator.
The role covers post-booking administration, documentation, invoicing, itinerary checking, supplier coordination, and operational support.
This is a maternity-cover role on a fixed-term contract.
Main responsibilities
- Manage post-sales administration for client bookings and check that booking details, invoices, and documentation are correct.
- Coordinate with regional heads and local suppliers to ensure documentation and service delivery meet requirements.
- Assist with operational troubleshooting of service issues for regional heads of travel design.
- Maintain accurate client and trip information in Jacada and Wilderness systems.
- Assist with checking, delivery, and dispatch of client documentation packs.
- Work across teams and time zones to complete tasks efficiently and support client and supplier service delivery.
Experience
- Experience in operations and/or customer service is required.
- Experience working across multiple teams and stakeholders is required.
- Experience using a variety of systems and processes to manage client information is required.
- The role requires the ability to get things done quickly and efficiently.
Skills for success
- Strong organisation, prioritisation, workload management, and deadline management are required.
- The role requires strong written and verbal communication, attention to detail, and a commitment to outstanding service.

Working hours
- Working hours are Monday to Friday, 10am to 6pm.
- The role is typically based three days in the Shoreditch office and two days working from home.
