Position Summary
The Office Manager to the President serves as the primary administrative and operational support to the President of a new Private University.
This role manages the President's schedule, correspondence, and office logistics while acting as a key liaison between the President and internal/external stakeholders.
In the Year 1 startup environment, this position will also support institution-building activities including Board of Directors coordination, executive communications, and the establishment of a disciplined decision-tracking and document-control practice for the Executive Office.
Key Responsibilities
- Manage the President's calendar, schedule meetings, and coordinate travel arrangements domestically and internationally.
- Serve as the primary point of contact for internal and external communications directed to the President's office.
- Prepare agendas, briefing materials, presentations, and reports for the President and the Board of Directors.
- Maintain an executive decision and action register (decisions, owners, deadlines, evidence of completion) and track resolution of cross-divisional escalations.
- Coordinate logistics for Board meetings, executive retreats, and high-level stakeholder engagements.
- Draft, proofread, and manage official correspondence in both Arabic and English.
- Maintain confidential files, records, and documentation for the Executive Office using a controlled document management approach.
- Support the President in tracking institutional milestones, strategic plan deliverables, and key performance indicators.
- Manage office procurement, supplies, and administrative budgets for the Executive Office.
Year-One Launch Priorities
◆ Implement a weekly executive operating rhythm: standardized agenda formats, action tracking, escalation rules, and documented outcomes.
◆ Create an institutional document-control approach for mission/vision, policies, delegated authorities, and launch approvals.
◆ Establish a Board communications workflow (board packet timeline, approvals, archival) ready for the first Board meeting cycle.
Required Qualifications
- Bachelor's degree in Business Administration, Office Management, or a related field.
- Minimum 5 years of experience in executive-level administrative support, preferably in higher education or a corporate executive office.
- Full professional proficiency in both Arabic and English (written and spoken).
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Demonstrated experience managing confidential information with discretion.
Preferred Qualifications
- Master's degree in Business Administration or a related discipline.
- Prior experience supporting C-level executives in a university or educational institution.
- Experience working within Saudi Arabia's regulatory and business environment.
- Familiarity with Board governance processes and corporate secretary functions.
- Experience coordinating with international partners or joint-venture organizations.

Special Considerations & Compliance

- ▸ PDPL compliance: The role handles personal data across HR, admissions, and vendor contexts; must apply data minimization, controlled access, and secure retention practices consistent with SDAIA PDPL guidance.
- ▸ NCA ECC awareness: The Executive Office must follow baseline cybersecurity and secure information-handling practices aligned with the NCA Essential Cybersecurity Controls (ECC 2-2024).
- ▸ Role requires occasional evening or weekend availability for Board meetings and executive events.
- Position may involve dual responsibilities (double-hatted) during the startup phase, including supporting broader institutional operations.
