Responsibilities
- Manage the calendar and diary of senior leadership, scheduling meetings across time zones
- Act as first point of contact for executives, screening and prioritizing calls and correspondence
- Arrange domestic and international travel including flights, hotels, visas, and itineraries
- Prepare and reconcile expense reports, claims, and reimbursements
- Oversee day to day office operations, manage supplies, and liaise with building management
- Support onboarding of new employees and coordinate company events
Requirements
- Bachelor's degree (any discipline)
- Minimum 5 years of experience as a Personal Assistant, Executive Assistant, Office Manager, or senior administrative role
- Proven experience managing diaries, travel, and correspondence for senior stakeholders
- Strong proficiency in Microsoft Excel, Word, PowerPoint, and Outlook/Gmail
- Excellent written and spoken English
- High level of discretion, professionalism, and confidentiality
- Must currently be based in the UAE

About the Role
- We are looking for a highly organized, proactive, and detail oriented Office Manager / Personal Assistant to provide high level executive support and oversee office operations.
Executive / PA Support
- Manage the calendar and diary of senior leadership, scheduling meetings across time zones.
- Act as first point of contact for executives, screening and prioritizing calls and correspondence.
- Draft, proofread, and manage correspondence on behalf of leadership.
- Arrange domestic and international travel including flights, hotels, visas, and itineraries.
- Prepare and reconcile expense reports, claims, and reimbursements.
- Coordinate and prepare for meetings, take minutes, and track follow up actions.
- Prepare presentations, reports, and briefing documents.
- Liaise with internal teams, clients, vendors, and external stakeholders.
- Handle confidential information with discretion.
Office Management
- Oversee day to day office operations, ensuring a smooth environment.
- Manage office supplies, inventory, and equipment.
- Liaise with building management, facilities, and service providers.
- Manage relationships with vendors, suppliers, and contractors.
- Coordinate front of house/reception duties and welcome visitors.
- Support onboarding of new employees.
- Help maintain a safe, compliant, and well presented office.
- Plan and coordinate company events and team activities.
Administration & Operations
- Maintain and organize company documentation, contracts, and records.
- Handle filing, scanning, archiving, and document management.
- Prepare and process quotations, invoices, and related paperwork.
- Maintain accurate records using Excel and internal systems.
- Assist with vendor paperwork and operational forms.
- Coordinate courier shipments and logistics paperwork.
- Track and update operational data and reports using Excel.
Requirements
- Bachelor's degree (any discipline).
- Minimum 5 years of experience as a Personal Assistant, Executive Assistant, Office Manager, or senior administrative role.
- Proven experience managing diaries, travel, and correspondence for senior stakeholders.
- Strong proficiency in Microsoft Excel, Word, PowerPoint, and Outlook/Gmail.

- Must currently be based in the UAE.
Desirable (Nice to Have)
- Experience supporting C level / senior executives.
- Familiarity with travel and visa processes within the UAE/GCC region.
- Event coordination or office relocation/setup experience.
- Experience working in a fast paced or multinational environment.
Pay
- AED 6,000 AED 9,000 per month.
