Position Overview
Neuberger is seeking an experienced Office Manager and Executive Assistant for a five-month contract.
The role requires strong interpersonal and communication skills, initiative, and the ability to anticipate client needs.
Administrative and Team Support
- Provide administrative support for team members.
- Log meeting reports accurately on Salesforce.
- Maintain and review team calendars with accurate meeting details, logistics, and notes.
- Schedule meetings, conference calls, room bookings, luncheons, and related arrangements.
- Provide phone coverage and temporary cover for other team Executive Assistants.
Travel, Events, and Coordination
- Coordinate flights, hotels, ground transportation, MENA roadshows, agendas, logistics, schedules, visas, and visitor requirements.
- Anticipate client visit needs and coordinate internally.
- Maintain logs of annual general partner meetings and industry conferences.
- Register team members for conferences and coordinate event logistics.
- Liaise with internal groups and support areas across the firm.
Finance and Vendor Management
- Process business expenses and perform monthly corporate card reconciliation.
- Coordinate print jobs with internal or external printers.
- Maintain office supplies and manage office vendors and service providers.
Office and Facilities Management
- Manage office facilities, landlord communication, permits, and ongoing maintenance.
- Coordinate Riyadh office setup and operational requirements.
- Liaise with IT on video conference setups and related support.
- Assist with yearly office archiving.
HR and Local Compliance
- Act as the Riyadh office contact for day-to-day HR matters.
- Support onboarding of new employees.
- Manage Qiwa and GOSI portals, including contracts, renewals, and employee follow-ups.
- Coordinate employee visa applications and required travel documentation.
Key Requirements and Qualifications
- Experience as an Executive Assistant, Support Assistant, or in another relevant financial services role.
- Ability to work effectively in a fast-paced environment with senior-level individuals.
- Excellent organization, attention to detail, and time management skills.
- Ability to prioritize multiple and changing tasks and remain resourceful and adaptable.
