Overview

  • We are seeking a highly organized, tech savvy, and effective communicator to join our Maintenance Operations team as an Operations Administrator.
  • The ideal candidate will have strong computer skills, excellent communication abilities, and a sharp focus on reporting and creating impactful PowerPoint presentations.
  • This role involves managing administrative functions within the maintenance department, streamlining reporting processes, and ensuring clear communication across teams.

Key Responsibilities

  • Develop and maintain comprehensive reports related to maintenance operations.
  • Monitor and analyze key performance metrics, ensuring data accuracy and consistency.
  • Create detailed and visually engaging PowerPoint presentations for internal meetings, leadership updates, and stakeholder reports.
  • Prepare regular maintenance performance dashboards to evaluate team productivity and service outcomes.
  • Maintain accurate records of maintenance schedules, reports, inventory management, and operational data.
  • Ensure proper documentation for maintenance projects, corrective actions, and preventive maintenance activities.
  • Act as a liaison between the maintenance team, other departments, and management, ensuring the smooth flow of information.
  • Coordinate meetings, follow ups, and track progress for maintenance related tasks.
  • Assist with the communication of updates and changes in the maintenance schedule to relevant stakeholders.
  • Provide administrative support for the daily operations of the maintenance team, including data entry, filing, and record organization.
  • Assist in the preparation of maintenance budget reports and other relevant documents.
  • Ensure the effective use of maintenance management software and other digital tools for tracking maintenance operations.

Required Skills & Qualifications

  • Advanced knowledge of Microsoft Office Suite (especially Excel, PowerPoint, and Word).
  • Strong experience in creating detailed reports, dashboards, and presentations using PowerPoint and Excel.
  • Strong verbal and written communication skills, with an ability to present data clearly and concisely to both technical and non technical audiences.
  • Ability to produce professional and engaging PowerPoint presentations for leadership and stakeholders.
  • Exceptional organizational skills with a keen eye for accuracy in all administrative and reporting tasks.
  • Ability to manage multiple tasks and meet deadlines in a fast paced environment.

Preferred Qualifications

  • Previous experience in a maintenance or operations administrative role.
  • Familiarity with maintenance or asset management process.
  • Bachelor's degree in Business Administration, Operations Management, or a related field.
