Administrative Duties

  • Answer phones, greet visitors, and manage general office correspondence
  • Schedule meetings, appointments, and manage calendars
  • Maintain filing systems (physical and digital) for company records
  • Order office supplies and manage vendor relationships
  • Prepare and format letters, memos, reports, and presentations
  • Assist with onboarding new employees (paperwork, ID badges, setup)
  • Coordinate travel arrangements when needed

Accounting Duties

  • Process accounts payable and accounts receivable
  • Prepare and send invoices; follow up on outstanding payments
  • Record daily financial transactions in accounting software (e.g., QuickBooks, Xero)
  • Reconcile bank and credit card statements
  • Assist with payroll processing and timesheet tracking
  • Prepare expense reports and process employee reimbursements
  • Support month end and year end closing processes
  • Maintain accurate financial records and assist with audits
  • Generate basic financial reports as requested by management
