Responsibilities
- Answer phones, greet visitors, and manage general office correspondence
- Schedule meetings, appointments, and manage calendars
- Maintain filing systems (physical and digital) for company records
- Order office supplies and manage vendor relationships
- Prepare and format letters, memos, reports, and presentations
- Assist with onboarding new employees (paperwork, ID badges, setup)
- Coordinate travel arrangements when needed
- Process accounts payable and accounts receivable
- Prepare and send invoices; follow up on outstanding payments
- Record daily financial transactions in accounting software
- Reconcile bank and credit card statements
- Assist with payroll processing and timesheet tracking
Requirements
- Experience in administrative duties such as answering phones, scheduling, and filing
- Experience in accounting duties including accounts payable/receivable, invoicing, and bank reconciliation
- Proficiency in accounting software (e.g., QuickBooks, Xero)
- Ability to assist with payroll processing and timesheet tracking

- Process accounts payable and accounts receivable
- Prepare and send invoices; follow up on outstanding payments
- Record daily financial transactions in accounting software (e.g., QuickBooks, Xero)
- Reconcile bank and credit card statements
- Assist with payroll processing and timesheet tracking
- Prepare expense reports and process employee reimbursements
- Support month end and year end closing processes
- Maintain accurate financial records and assist with audits
- Generate basic financial reports as requested by management
